Trans-Northern Pipelines Inc. (TNPI) operates regulated pipelines to safely transport the refined petroleum products (gasoline, diesel, aviation, and heating fuel) used by Canadian businesses and consumers every day. These pipelines connect refineries in Edmonton to Calgary, including the Calgary International Airport; and refineries in Nanticoke, Ont., and Montreal to the Greater Toronto Area (GTA), with lateral pipelines to Ottawa as well as to Pearson International Airport and Pierre-Elliot Trudeau International Airport. **KEY RESPONSIBILITIES**:
- Assist in planning and executing internal and external engagement activities, including scheduling meetings, drafting messaging and materials, recording notes, and tracking follow-up actions.
- Maintain, develop, and update corporate website and various corporate public awareness materials.
- Manage the organization’s inventory of corporate print materials, promotional items, and swag.
- Coordinate engagement and communications projects, such as newsletters, mailouts, website updates, all-employee events, and conferences.
- Build multi-media PowerPoint presentations, including bi-annual Town Hall content, and ensure timely updates to corporate manuals.
- Provide administrative support to the Regulatory & External Affairs group, including document formatting, drafting correspondence, minute-taking, and report preparation.
- Conduct research on key issues and topics relevant to the Regulatory & External Affairs group.
- Serve as a backup for Intelex Management and assist with budget management, including project setup, vendor quotes, and purchase requisitions.
- Liaise with the Landlord on office-related issues and ensure the facility is safe, clean, and fully operational.
- Maintain office supplies and equipment, coordinating repairs and IT/computer support.
- Oversee local business services, including managing office equipment logs, maintaining the office bulletin board, handling mail and couriers, and coordinating catering and vendor services.
- Greet visitors, answer phones, and ensure smooth daily operations at the Calgary office.
**QUALIFICATIONS**:
Must-haves (minimum requirements):
- 2 years’ experience in an Administration/Coordination role with excellent customer service skills.
- Post-secondary education in Business Administration, or related equivalent experience.
- Keen eye for detail along with Content Management Systems (CMS) experience.
- Exceptional oral and written communication skills (including grammar, punctuation, and spelling) along with meticulous attention to detail.
- Superior prioritization, multi-tasking, and time-management skills to meet deadlines and balance competing priorities.
- Advanced proficiency with Microsoft Office 365, with focus on PowerPoint and SharePoint.
- Capable of working independently or within a team environment.
- Alignment with our values of safety above all else, respect, trust, results focused, decisiveness, and lifelong learning.
Preference for:
- Proficient in using Canva or Adobe Photoshop.
- Experience in the energy sector/pipeline industry.
- Bilingual (English and French) - please submit your resume in English.
