Reporting to the Manager, eBilling, the eBilling Coordinator will be responsible for assisting in all phases of client billing & eBilling. This includes bill & eBill preparation, submission, appeals, tracking, high level issue resolution, reporting, records management and follow-up and communication with clients and Osler lawyers in relation to eBills. This is a detail-oriented position with an emphasis on problem solving skills, reporting ability and superior client service. This role requires an intricate knowledge of the billing & eBilling workflows, processes, systems and stakeholders.
**Major Responsibilities**
- Reviewing eBills and submitting them through eBillingHub or the client’s eBilling platform
- Track, follow-up and resolve issues for rejected eBills
- Work with legal assistants and lawyers to drive billing of WIP
- Provide regular updates to the Manager, eBilling to track progress on efforts and ensure all pending tasks are handled in a timely manner
- Management of the billing & eBilling Team’s centralized inbox
- Assistance with records management in Aderant for the CBS Teams
- Training Team members on Aderant best practices
- Creating Aderant training materials for the Billing & eBilling Teams
- Ensure all pending eBill WIP is handled and billed successfully in a timely manner
- Analyze short payments on eBills and make internal adjustments to limit future reductions
- Be actively involved in billing & eBilling process improvements including implementing and testing of system enhancements
- Provide back up and support for billing & eBilling Team members
- Handle client billing & eBilling inquiries
- Liaise between the Osler lawyers, assistants, Billing & eBilling Teams and clients to resolve issues and handle inquiries
- Maintaining accurate client and matter information with regards to billing & eBilling
**Position Requirements**
- Education and Experience_
The position requires a college diploma and a minimum of three years of eBilling experience, preferably in a professional services or law firm environment. An equivalent combination of education, training and experience may be acceptable.
- Knowledge and Skills_
- Knowledge of Aderant, eBillingHub, eBilling platforms (TyMetrix, Serengeti, CounselLink etc.) & Prebill Viewer is an asset
- Strong Microsoft Excel skills are an asset to create spreadsheets for review and tracking data
- Excellent communication and problem solving skills are required
- Ability to understand and adjust eBilling LEDES files for submission is required
- Analytical review to identify issues and drive resolution results
- Positive attitude, patience, resilience and a sense of humour

We are currently working in a hybrid work arrangement, which includes a requirement to work primarily in the office and flexibility to work remotely up to 2 days per week.
