Assistant to The Manager

Under the guidance and in collaboration with the General Manager, the Assistant to the Manager shall be responsible for the coordinating operations between the Front Office, Kitchen, and Bar. As part of the Italian Cultural Centre (ICC) Team, they will also responsible for creating a positive and supportive work environment, while providing high quality service and strategical and sustainable growth of the ICC.
Employee's Duties:
- The employee will be expected to work on a full time basis exclusively for the Employer, Monday through Friday from 9am to 5pm only. An unpaid 1/2 hour lunch break will be provided. Lunch break time to be determined with the cooperation of the General Manager. Any additional hours worked will be deducted from subsequent work hours.
- Manage and update booking calendar for all rooms rentals.
- Maximize revenue, control costs, and customize quotes.
- Communicate BEO's and coordinate with all departments (kitchen, cleaning staff, set up team, and supervisors) to ensure quality guests' satisfaction.
- Process payments, prepare invoices, daily reports, and cash deposits (using Sage 50).
- Settle and manage accounts receivable (using Sage 50).
- Provide administrative support to front of house and kitchen by facilitating internal and external reviews, and providing continuous quality evaluation and improvement.
- Schedule all floor staff (servers, supervisors, bartenders) for upcoming functions and society events.
- Ensure compliance with HR policies, update and maintain policies as necessary.
- Manage payroll: calculate hours, create paystubs for all employees/salaries (using Sage 50).
- Open incoming regular and electronic mail and relay communications.
- Help prepare, proofread, and revise presentations, correspondence, reports, and other required material/documentation/marketing messaging.
Provide administrative support for the Executive Committee of the Italian Society of Port Arthur:
- Schedule meetings, books rooms.
- Take both formal and informal correspondence.
- Membership maintenance.
- Event planning: creation and distribution of invitations, coordinate with other parties involved (city, members, employees).

**Salary**: From $42,000.00 per year
