**Role Overview**
The Parts and Service Administrator provides reliable administrative and operational support to the maintenance department by managing parts inventory, service records, and vendor relationships. This role helps reduce equipment downtime, control costs, and ensure compliance with Canadian and U.S. transportation regulations.
**Reports to**: Shop Supervisor
**Responsibilities**
- Order, receive, and distribute parts required for trailer and truck maintenance.
- Maintain accurate inventory levels, ensuring critical parts are always available.
- Monitor usage and generate reports on parts consumption and costs.
- Establish and maintain relationships with suppliers for cost-effective and timely purchasing.
- Schedule, track, and record all service and repair activities for the fleet.
- Drive company vehicle to pickup parts as required.
- Ensure all maintenance records comply with Transport Canada and U.S. DOT regulations.
- Coordinate with Lead Technicians and mechanics to align service schedules with operational needs.
- Support warranty claims, returns, and core part tracking.
- Process purchase orders, invoices, and warranty claims accurately and on time.
- Maintain digital and physical records of parts and service documentation.
- Assist in preparing budgets and reports for the maintenance department.
- Liaise with dispatch and operations teams to minimize downtime and ensure trailer availability.
- Work closely with the maintenance team to prioritize urgent repairs.
- Communicate with vendors, service providers, and internal departments professionally and efficiently.
**Qualifications & Skills**
- Diploma or certificate in Business Administration, Supply Chain, or related field (or equivalent experience).
- Minimum 2-4 years of experience in parts, service, or administrative roles (transportation industry preferred).
- Strong knowledge of truck and trailer parts is an asset.
- Driver's license required.
- Proficiency in inventory management systems and MS Office (Excel, Word, Outlook).
- Strong organizational and record-keeping abilities.
- Excellent communication and vendor management skills.
- Knowledge of Canadian and U.S. transportation compliance standards is an asset.
**Work Schedule**
- Mon-Fri 8:00am-5:00pm
**Job Types**: Full-time, Permanent
Pay: $20.00-$26.00 per hour
Expected hours: 40 per week
