Aveiro Sleep/Sleep Medix, a leading Sleep and Respiratory service provider, is dedicated to enhancing the well-being of individuals by offering comprehensive Home Sleep Apnea Testing (HSAT), CPAP therapy, and respiratory support services across Western Canada. We are seeking a dynamic Data Administrator to join our team.
- **Key Responsibilities**:_

**New Intake/ Indexing**
- Create new patient charts within our EMR system.
- Add new and existing patient referrals into the EMR and add patients to corresponding waitlists.
- Send correspondence to medical clinics to attain missing patient information, or incorrect referrals.
- Update/Correct patient demographics.
- Notify Customer Service team of incoming signed prescriptions.

**Processing Sleep Tests**
- Review patient demographics on Sleep Study
- Send sleep test to interpreting physicians
- Follow up with Clinicians for missing information such as sleep study data and questionnaires.

**Processing Interpretations**
- Sort incoming Interpretations from interpreting physicians
- Process completed interpretations
- Fax interpretations, prescription, and any other required documents to the referring physician
- Move patient files through the patient pathway

**Sending/ Drafting Letters**
- Generate and send a wide variety of letters, forms, and other correspondence to referring medical clinics and specialists
- Generate and send referrals for signatures
- Other letters as required by management or leads

**Authorizations and Consent to release information**
- Calling patients to obtain verbal authorization and documenting the verbal consent
- Creating invoices for release of information if requested by Insurance, or Lawyers offices
- Sending requested medical documents as per the company’s policy

**Other responsibilities**
- Check fax receiver regularly; sort and distribute faxes as required
- Check Data Admin inbox regularly; sort and respond to requests as required
- Assist with sleep study calling/booking as required
- Add new physicians and or clinics into the contact data base
- Assist medical clinics with questions regarding their patients, missing reports, status updates, maintain a good working relationship with all clinics on behalf of Aveiro Sleep/ Sleep Medix.
- Provide support to all Aveiro Sleep/ Sleep Medix employees related to Data Admin requests as required.
- **Qualifications**:_
- Strong attention to detail with the ability to accurately manage patient information.
- Excellent organizational skills to handle multiple tasks and prioritize effectively.
- Proficient in written and verbal communication.
- Experience with Electronic Medical Records (EMR) systems.
- Knowledge of medical terminology, especially related to sleep studies.
- Problem-solving skills to address discrepancies or missing information.
- Customer service skills to assist clinics and patients professionally.
- Administrative skills to draft accurate and professional correspondence.
- Ability to work collaboratively within a team.
- Effective time management to meet deadlines and maintain workflow efficiency.
