About the Role
We’re looking for a highly organized, people-focused **Customer Experience** team member to serve as the welcoming front door of our company.
This role leads **Lead Intake & Customer Service**, ensuring every inquiry is handled with professionalism, warmth, and accuracy. From there, you’ll provide strong administrative support to our Design Build and Finance teams to keep projects moving efficiently. You’ll also support marketing execution to help maintain a consistent and compelling brand presence.
This position is ideal for someone who thrives in a fast-paced environment, enjoys balancing structure with creativity, and takes pride in delivering excellence behind the scenes and at the front line.
What You’ll Be Doing
Lead Intake & Customer Service
- Answer all incoming calls promptly and professionally
- Deliver a courteous, knowledgeable, solution-focused experience aligned with company values
- Accurately enter all inbound inquiries into CRM with complete details
- Categorize and route new leads within established timelines
- Maintain clean, organized, up-to-date CRM records
- Monitor open leads and ensure timely follow-up
- Prepare and share lead reports (source tracking, volume trends, conversion updates)
Contract Administration Support
- Prepare Design Build job binders (permits, locates, purchase orders)
- Assist with landscape construction contracts and work orders
- Support Project Management with documentation and job readiness
- Enter inventory adjustments into QuickBooks
Marketing Support
**Content & Brand Execution**
- Maintain a content calendar aligned with Hutten & Co.’s brand voice and values
- Support seasonal storytelling aligned with sales rhythms
- Schedule social media posts and engage with audience responses
**Collaboration with People & Culture**
- Update website galleries, team pages, and posts monthly
- Capture and share weekly team and culture stories
Office Administration & Bookkeeping Support
- Code and allocate vendor invoices accurately
- Process POS terminal payments
- Maintain organized digital and physical filing systems
- Prepare new vehicle binders
- Provide general administrative support to Design Build, Finance, and Administration

**Qualifications**:
**Education**:
Business Administration Diploma (Accounting or Marketing preferred)
**Skills & Experience**:
- Strong social media, clean editing, and written storytelling skills
- Proficiency with QuickBooks Desktop Enterprise
- Microsoft Office Suite (Excel, Word, PowerPoint)
- Google Calendar, Gmail
- Dropbox / OneDrive
- Web platforms (Facebook, Instagram)
- Strong keyboarding and data entry skills
- GIS navigation experience is an asset
