Member Governance Coordinator (12-month contract)

Purpose of role

The Member Governance Coordinator is responsible for accurately capturing, recording, and verifying information. While working with other departments, our Member Governance Coordinators input, process, and store information for the benefit of our members and volunteers. This role is ideally suited for a highly organized individual who enjoys being part of a team while contributing to a cause that matters.

To be successful in this role, an individual must maintain a positive and professional attitude while delivering accurate and reliable results. They have the ability to meet tight timelines in dynamic conditions while maintaining poise and professionalism. They can prioritize deliverables and should possess excellent time management skills and be extremely detail oriented. Above all else, they enjoy collaborating and interacting with others, this may include external vendors.

The Governance Coordinator role will be a virtual opportunity, with some required evenings and light weekend work.

**Job Description**:
Key Responsibilities
- Build a service-oriented approach into communications/interactions with all internal and external stakeholders.
- Schedule, coordinate, and maintain a centralized team calendar that structures all meetings across the Member Network.
- Produce accurate and reliable funding reports that outline the distribution of funds across the Member Network on a monthly basis.
- Generate follow-up documents that track and outline any omitted post activity reports.
- Accurately maintain and update a centralized contact list for all Member leaders in Microsoft Excel.
- Assist with elections within our Member Network, including the preparation of admin documents to support governance and on-boarding.
- Assist with the tracking and distribution of honoraria (stipends) for the Member Network.
- Support the administration of our member awards and recognition programs.
- Organize and maintain virtual folders within a common shared drive.
- Support Governance Specialists with ad-hoc tasks and regional reporting requests.
- Assist with the preparation of both virtual and live events.
- Collaborate and cooperate with colleagues on a daily basis while maintaining a positive and proactive approach to problem solving.
- Periodic attendance at both virtual and in-person meetings to support the transcription of minutes where required.
- Other duties as required.

Key Qualifications
- One to two years of work experience in a relevant field or University degree or College diploma.
- Strong ability (and willingness) to support coworkers/team-mates to accomplish group goals.
- High attention to detail and accuracy.
- Strong organizational, follow-up and priority setting skills.
- Excellent collaboration and facilitation skills.
- Strong interpersonal skills and an ability to interact with a wide range of internal and external stakeholders.
- Excellent communication skills (written and oral) with an ability to build and maintain positive relationships with staff colleagues and volunteer member leaders. Ability to effectively liaise with diverse groups and a wide range of individuals, both virtually and in person, while acting in a highly professional manner.
- Intermediate knowledge of Excel (vlookup; xlookup; ‘ifs’ statements; power query).
- Ability to manage and prioritize multiple tasks simultaneously while operating in a dynamic and fast paced environment.
- Proven ability working in a team-oriented environment.
- Proven track record of achieving successful results.
- Willingness to learn to new skills.
