Fleet Coordinator

The Fleet Coordinator will be responsible for supporting our fleet to ensure performance meets or exceeds key performance indicators. This is an operational and administrative role that primarily focuses on coordinating fleet maintenance and repairs, ensuring we are maintaining our Safety & Maintenance policies and files. In this role, you manage a preventative maintenance schedule and track the completion and sourcing of maintenance tasks by external vendors... You will also carry-out administrative functions, record-keeping related to maintaining and reviewing equipment files, driver files, fuel usage reporting, compliance with both trip inspections and hours of service, along with other duties as required. This position will also work closely with drivers and our clerks to optimize our equipment utilization, scheduling and efficiency.

- Ensuring all equipment, driver and safety policies and transportation legislation are followed and met
- Ensuring the efficient and safe operation of all rolling stock and free of any safety hazards at all time
- Ensuring compliance with company policies as well as the Partners in Injury reduction COR certificate program
- Ensure our fleet is operating safely and seek training solutions for our team members.
**Quality**
- Provide training, guidance, and advice to others on fleet and transportation issues
- Ensure fleet equipment is running as efficiently as possible and optimizing up time for equipment.
- Effectively manage the fleet and parts inventory, Maintain inventory of spare parts and tires
- Ensure compliance with regulations
**Productivity**
- Continuously seek strategic improvement opportunities, he/she will plan, develop, and effectively and efficiently execute with a focus on lowering operational costs, improving service delivery
- Monitor and manage key performance indicators including the analysis and explanation of variances and exceptions
- Completing all necessary records and reports in a timely manner
- Document and schedule fleet maintenance and repairs with focus on Preventative/ Predictive Maintenance programs to meet compliance standards.
- Monitor fuel vendors along with usage and fuel efficiency
- Maintain recordkeeping files and a database of truck and driver information
- Assist with process improvement
- Assist with cost control through inventory management and reviewing third party estimates/invoices on external repairs; Work with external vendors, including mechanics
**EDUCATION AND TRAINING**
The fleet coordinator would ideally possess a diploma or bachelor’s degree in Business, Logistics, Supply Chain, Transportation or have the equivalent relevant experience.
**EXPERIENCE**
The Fleet Coordinator should have a minimum of three (3) years of transportation/operations experience and preferably experience in a trucking fleet.
**KNOWLEDGE, SKILLS AND BEHAVIOURS**
- Ability to think strategically and establish clear direction but also can balance the need for a hands-on and detailed approach to daily management.
- Attention to detail to ensure provincial and federal legislative requirements, regulations & NSC standard are met and files maintained
- Ability to negotiate contract terms and rates directly with vendors.
- Must have excellent communication skills, both written and oral, and the ability to effectively interact with ABCRC employees, stakeholders, and third-party carriers/drivers
- Must have ability to multitask and remain flexible in a dynamic work environment
- Demonstrated knowledge and user experience with Microsoft Office products with a focus and proficiency in Excel. Familiarity/proficiency with Fleet Management Software
- Excellent organizational, analytical, prioritization and problem-solving skills
- Familiarity/proficiency with Parts Management; Experience with Upkeep an assets
- Must have a minimum of a valid Class 5 Driver’s License; Although not required possession of a Class 1 license would be an asset.
**WORKING CONDITIONS**
Physical demands: Regular hours at a desk, using office equipment and attending meetings, along with yard and trailer inspections in a safe manner. Occasional lifting of supplies and materials.
Environmental Conditions: Manage multiple priorities and tasks and may experience interruptions. The position requires excellent organizational and time management skills, and precise attention to details.
