**Job Summary**:
Precise ParkLink is looking for a focused, motivated and highly organized administrator to join our Sales and Marketing teams. This individual will be responsible for all administrative functions associated to business development activities, working collaboratively with staff within the Sales and Marketing teams and other internal departments in order to complete administrative tasks and using their experience to assist with the improvement of these processes.

**Employment**: Full-time, In-office

**Hours**: 40 hours per week, 9:00 a.m. - 5:00 p.m.

**Required Qualification and Skills**:

- Completed post-secondary education in business administration, marketing or similar field
- Strong written communication skills in English and ability to understand technical information
- Advanced proficiency in Microsoft Word, Excel, PowerPoint, Outlook and Adobe Acrobat Pro
- 1 year professional experience is preferred but not mandatory
- Valid driver’s license is preferred but not mandatory

**Job Responsibilities/Duties | Sales Administration**:

- Obtaining, downloading and distributing proposal documentation
- Review document requirements to ensure response to all pre-submission material (e.g. RSVP to Site Meetings, return Intent to Submit letters, etc.), and prepare summary information to initiate proposal response activities
- Request and coordinate all required documentation from internal departments for submissions in a timely manner (i.e. obtain Insurance Certificates, WSIB documentation, Bonding requirements, as required)
- Recording and tracking project specific deadlines (i.e. deadlines to submit questions, due dates, etc.)
- Assist with the completion of proposal submission documentation, as required by the RFP document
- Continuously update internal proposal and sales tracking databases
- Other administrative functions as needed on a daily basis
- Report to Director of Proposal Development

**Job Responsibilities/Duties | Marketing Administration**:

- ** Event, sponsorship and membership management**: perform administrative tasks required for event registration, budget tracking, agenda packages for event attendees, organize marketing collateral required per event, assist with event set up and clean up when required
- ** Marketing and sales lead management**: communicate, follow up with and identify qualified marketing leads from online marketing channels, perform administrative tasks required to keep track of incoming online sales leads, follow sales lead distribution criteria
- Process payments following internal processes and accurately track expenses in marketing budget
- Perform administrative tasks associated with researching and ordering new marketing material, keep track of and organize current marketing material and catalogue
- Maintain prospect and client list on HubSpot - a marketing CRM platform
- Administrative tasks as they arise for Business Development Teams (Marketing, Sales, Proposal Development)
- Create and update internal digital forms
- Fulfill internal orders for equipment and software manuals
- Report to Marketing and Communications Manager
