Requisition ID: 146208 Join a purpose driven winning team, committed to results, in an inclusive and high-performing culture. **Transfers Administrator - Canadian Wealth Management Operations** **Job **Purpose** Working in a team environment, the Transfers Administrator is responsible providing courteous, accurate and timely information to our internal business lines, ScotiaMcLeod, iTRADE, Scotiatrust and PIC as it relates to completing all processing activities as it relates to external transfer requests. This includes addressing branch/external firm inquiries on initiations, processing, timing and general inquiries regarding the account transfer process. The Transfers Administrator will also be responsible for cross training and participation during team meetings and huddles as a part of knowledge sharing and maintaining best practices and adherence to regulatory requirements. **Accountability 1** To complete all transfer related activities in an efficient manner. To process, review and follow up on redemption requests. To provide coverage as required during absence and or increased volumes. To build and maintain strong relationships with other firms and internal departments in order to resolve problems/issues in a timely manner. **Accountability 2** To assist management with planning and continual process review by bringing forward your ideas and implementing communicated and other recommended changes. Daily review of various reports/systems in order to follow-up on outstanding transfers and aged items and ensures the accounts are commented accordingly. To resolve problems, issues and situations at a senior level as required, including but not limited to identifying anomalies and errors, and carrying out the appropriate correcting entries and/or activity, fee issues, and claims/cancellations. Responsible for ensuring client accounts are thoroughly noted; clearly detailing the timeline and status of the transfers. **Accountability 3** Bring forward/escalate problem items as necessary to the Manager. Excellent problem-solving skills. Provide a friendly courteous environment for our internal & external clients in response to account transfer inquiries. Be a "team player". To accurately record daily statistics of all inquiries received and completed. **Competencies**: Knowledge of securities products: GIC’s, Equities, Mutual Funds and Bonds Some knowledge of Interbroker Transfer procedures and IIROC regulatory requirements. Excellent communication skills - both oral and written. Clients are to be provided information in a clear and concise manner. The ability to work effectively independently and multi-task in a team-oriented environment Work well under pressure and be able to negotiate with highly demanding clients. Accuracy is critical as value of assets are large and errors create financial and reputational risk. **Education and other requirements**: Post secondary education. Financial industry work experience preferred. General knowledge of operational and regulatory processes governing the Wealth Management industry in Canada **Working Conditions**: Work in a standard office-based environment; non-standard working hours maybe required on occasion. Ad hoc requests from senior management, deadlines and unplanned operational problems are expected. The securities industry is a complex business operating within a rapidly evolving environment. The incumbent may face moderate to extreme pressure and stressful situations due to high volumes, there may be a need to shift priorities and duties on short notice.
