Group Reservations Agent

**Duties & Responsibilities**
- Arrive to work promptly, with a professional appearance.
- Answer phones for guest reservation and guest requests.
- Trains new associates to properly make reservations as part of onboarding journey
- Enter, modify, and update group block information in the system to ensure inventory, stay dates, cancellation policy, deposit requirement, and booking procedure are reflected correctly.
- Ensure all reservations have correct billing, and special room requests, such as accessible, connecting rooms, requested floors and noted concessions listed on LOI’s, group contracts/VIP reservations.
- Manage all group block requests for designated events, prepares all event documentation and coordinates with Hotel sales department.
- Create and maintain Credit Card Authorization Forms Link & Group Reservation Forms
- Maintain accurate filing system for groups and ensure that each group block is traced.
- Record group rooms and revenue in the property management system (Opera).
- Review all the room blocks in Marsha on a daily basis, cut off meeting, compiling daily, weekly and monthly reports, corresponding with Hotel guests and clients from all market segments.
- Monitor room type availability daily and collaborate with the front office.
- Enter, retrieve, reconcile, process and verify information (e.g., rooming lists, commissions, reward points, leads, third parties) in software involved in the sales process.
- Own and maintain the Hotel Information Profile with sales, events and operation teams input.
- Complete competition rate analysis as needed.
- Process groups no shows and cancellations
- Review prepayment reservations to ensure payment taken
- Review OTA bookings to ensure routing and payment details setup correctly
- Efficiently and accurately utilize eBonus, Group Housing Solutions, Group Posting Tool, SFA/One Source, CTAC, SuperNova, OXI, book4time, GXP, Opera and OpenTable software programs and any additional programs as required.
- Represent The Pearle Hotel & Spa in a professional and courteous manner, ensuring you are welcoming, accommodating and helpful to all guests and fellow team members
- Demonstrate Pearle’s values by providing genuine and thoughtful hospitality in the day to day execution of duties
- Maintain positive relationships within the team unit as well as with those outside of it, work together with others toward the common goal of success across the property.
- Graciously adapt schedule, when necessary, work beyond regular hours when called for
- Willingly accept additional tasks as required for the effective functioning of overall hotel operations
**What we would like you to bring to the position**:
- Post-secondary education an asset
- Knowledge of SFA, Opera sales and catering and MARSHA is required
- Previous experience in Group Reservations is a requirement
- Opening experience is preferred
- Front desk and reservations experience is an asset
- Experience with multi-line phone systems an asset
- Highly detailed, and able to maintain excellent organizational skills - while working in a fast-paced environment.
- Ability to multi-task while working on up to 50-60 future group room blocks.
- Highly motivated with exceptional customer service skills
- Proficient use of MS Office Suite
- Knowledge of OpenTable is advantageous
