**Job Overview**
Reporting to and under the direction of the Executive Director, the Building Manager is responsible for the daily operation and maintenance of the agency building, amenities, grounds and vehicles. The Building Manager is responsible for the safety and security of agency properties.
**Duties**:
- **Operation and Maintenance of Agency Amenities, Buildings, and Property**
- Ensures agency building, amenities, equipment and systems are maintained, inspected and are in satisfactory working order and compliant with all applicable codes, bylaws and regulations, and maintains a Preventative Maintenance Management Log to verify work performed;
- Maintains and makes repairs throughout the building, amenities, systems and equipment as required, and identifies and resolves issues as they arise;
- Performs basic carpentry, plumbing, electrical, cosmetic and landscaping repairs and maintenance as required;
- Performs pest control tasks as required;
- Liaises with Executive Director for vendor contracting, purchases of appliances, tools, equipment, and cleaning supplies;
- Ensures a sufficient supply of cleaning supplies and products are maintained and stocks replenished as necessary;
- Maintains and carefully stores agency tools, maintenance equipment and cleaning supplies;
- Performs annual inventory of agency tools and maintenance equipment;
- Supervises and coordinates contract janitorial services to ensure established safety and cleanliness standards are met daily;
- Supervises and coordinates contract vendors, monitoring their work while on agency property;
- Promptly and courteously responds to work order requests;
- Oversees building security by monitoring surveillance cameras and alarms, conducting random and planned security checks, detecting irregularities, and bringing awareness to and enhancing implementation of security protocols regarding fire, theft, break-in etc.;
- Ensures safety and security systems are in good working order and repaired or replaced as needed;
- Ensures appropriate procedures are in place and followed for after hours and emergency services and maintains up-to-date emergency contact numbers;
- Ensures access to facility for onsite programming or events during evenings and weekends;
- Organizes and maintains accurate and reliable key and lock records;
- Maintains property grounds by performing regular checks of yard cleanliness and picks up and removes litter and performs basic landscaping tasks to uphold the property’s aesthetic appearance;
- Promptly remove snow and debris from agency amenities including parking lot, walkways, entrance stairs, wheelchair ramps and surrounding sidewalks;
**Housing**
- Oversees the maintenance and upkeep of the housing floors;
- Performs twice weekly (or more frequent if necessary) unit inspections for general condition, pest checks, necessary repairs and maintenance;
- Makes the necessary repairs and maintenance in a timely manner;
- Monitors the condition and performance of the laundry machines, and makes repairs in timely manner;
- Assists Shelter Liaison in packing up and storage of belongings of discharged shelter participants;
- Assists shelter participants to prepare unit for pest control procedures, i.e. moving furniture;
- Empties garbage bins located in common/shared areas;
- Liaises with the Director of Special Projects and the Shelter Liaison on matters relating to housing;
- Encourages and accommodates housing participants using their skills to assist with minor repairs and maintenance including building and yard maintenance;
- Assists Housing Liaison and Life Skills Trainers to ensure housing participants are trained to properly clean and maintain their unit;
- Liaises with Executive Director for the procurement and purchases of appliances, furnishings, household items, as per approved budget, and ensures that stocks are replenished as needed;
- Ensures appliances and heating equipment in units are operating properly;
- Liaises with Manager of Client Settlement Services regarding engagement of Life Skills Trainers, interpretation requests and other settlement-related supports required by residents;
- Promptly and courteously responds to residents’ concerns and service requests;
- Ensures that appropriate procedures are in place and followed for after hours and emergency services and maintains up-to-date emergency contact numbers;
- Coordinates turnover process for units, such as cleaning and repairs, and facilitates smooth housing participant transitions;
- Assists Housing Liaison to establish and keep up-to-date the following reports:
- Updated lists of apartment vacancies/occupancies and expected arrivals;
- Information and orientation materials for new and existing shelter participants;
**Agency Vehicles**
- Liaises with Executive Assistant or designate to determine drivers have been approved to drive agency vehicles before confirming bookings;
