Program Coordinator

The Program Coordinator is responsible for developing, implementing, and overseeing our day and respite programs, individual program plans (IPPs), behavioural plans, daily schedules, and transition plans for children and adults with intellectual disabilities. To ensure the delivery of high-quality, person-centred programs that promote independence, growth, and overall well-being, the coordinator will collaborate closely with parents, caregivers, staff, schools, and community partners. The continued measurement of overall program success will allow the Coordinator to create positive experiences for all participants and repeat best practices for future programs.
**Job Duties include but are not limited to**:
- Consult and collaborate with the Supervisor to determine appropriate tier level for new participant intakes and for their seamless transition into the program.
- For all new participant intakes, design transition plans in collaboration with families, schools and other agencies to facilitate a smooth transition into the program.
- Collaborate with parents/caregivers to create and design individual program plans (IPPs) tailored to the needs of each participant.
- Develop and implement participant behavioural plans that provide staff with effective strategies for managing challenging behaviours and ensure a supportive and enriching environment for all.
- Research and create program activities for our different Tiers and participant abilities.
- Create weekly and/or daily activity schedules for Day and Respite programs.
- Circulate weekly schedules, as per prescribed deadlines, to both parents and staff.
- Oversee program activities to ensure effective implementation.
- Undertake any issues or problems within the program, including staff concerns, participant challenges, parent feedback, and community partnership matters.
- Collaborate with the Supervisor to assist respite program staff in the implementation of care plans and to ensure participant/staff safety and well-being at all times.
- Maintain clear and effective communication channels with parents, caregivers, staff, schools, and community partners.
- Provide ongoing supervision and support to staff, ensuring a cohesive and collaborative team environment.
- Provide an orientation and shadowing program for all new staff.
- Ensuring that all staff have read and understand the participants/client’s files
- Collaborate with the Supervisor in implementing our employee performance and coaching program.
- Collaborate with Supervisor to develop professional development of the staff
- With the Supervisor, co-host team meetings.
- Ensure the cleanliness and safety of our campuses and respite house.
- Inventory control and purchasing of programming supplies.
- Complete and file all appropriate documentation.
- Volunteer management
- Special event planning
- Adhere to all organizational policies and government legislation.
- Stay informed about best practices, research, and developments in the field of intellectual disabilities and program management.
**Qualifications**:
- Bachelor's degree in a relevant field (e.g., Special Education, Psychology, Social Work).
- Experience working with individuals with intellectual disabilities and a strong understanding of person-centred approaches.
- Demonstrated ability in creating group programs, individual program plans (IPPs) and behavioural interventions.
- Ability to function independently and as part of team
- Experience in leading staff.
- Excellent interpersonal skills and a dedication to fostering a collaborative team.
- Sharp organizational skills and ability to prioritize and complete tasks in a timely manner.
- Demonstrated experience in coordinating activities, program implementation, schedules, transitions and events.
- Strong solution-oriented mindset and problem solving skills.
- Excellent verbal & written communication skills
- Proficiency in Microsoft Office or Google Workspace
- Ability to handle issues and conflicts in a professional and compassionate manner.
- Detail oriented and a firm understanding of procedures that increase efficiency
**Preferred Qualifications**:
- Creative, resourceful and emotionally intelligent
- Reliable and mature
- Ability to handle stressful situations
- Proficiency on various social media platforms
- Knowledge of local resources, schools, and agencies related to intellectual disabilities is an asset.
- ASL (American Sign Language) would be a definite asset
- Familiarity with effective marketing practices
- Ability to generate analytical reports to measure program impact
- Knowledge of bookkeeping and budgeting processes
**Job Requirements**:
- Must have a clear criminal record check with vulnerable sector screening.
- Must have a 2-part TB test / HepB test.
- Must have current First Aid/C.P.R. or be willing to complete at own expense.
- NVPCI or Medication/Pharmacology training is a definite asset.
- Current and valid Class G Driver's License.
