**Operation Manager**

Salary Range: $55,000 to $60,000 plus possible bonuses.

2 weeks vacation per year

Oversee 5 - 6 RecordXpress staff

Monday to Friday 8:30 to 5:00 - hours may vary at times depending on work load and staffing issues.

Cellular phone provided, Laptop provided

Warehouse duties are required, lifting, scanning barcodes, dusty environment, forklift operation

Comfortable on computer

Business mind set focused on growth

**Goal**:Daily provides supervision of the warehouse, customer service and courier personnel.

**Employee Management**

Initiate hiring and firing personnel including.

Approve hiring temporary personnel when extra manpower is required.

Maintain and update all employee Job Descriptions.

Educate employees to the roles and responsibilities, conduct training for operations personnel.

Report to Managing Partners on employee efficiency & effectiveness in line with standards and benchmarks.

Recommend employee bonuses.

Promote employee suggestions.

Maintain employee dress codes, presentation, and manage hours worked by all operating employees.

**Security and safety policy**

Ensure employees workplace and operations procedures are safe.

Develop and conduct Safety training to operations personnel.

Create, maintain and audit all systems organization, documentation & insure security of information.

Update and maintain all policy, work practices & procedures.

Develop, maintain and test Disaster Preparedness and Recovery Plan.

Develop and maintain Security Policy.

Maintain & update daily redundant back up of RecordXpress and customer data.

Maintain and implement effective employee security access card systems. Monitor employee security access reports.

Manage the Security & Privacy of customer information, contracts, customer contact lists, etc.

**Office Management**

Insure cleanliness & presentation of all RecordXpress office space, warehouse and physical assets.

Monitor & manage all operations related expenses such as warehouse and office equipment, furniture, computers, software, security, data, & telephone systems

Cost effectiveness and benefit analysis of all services and expenses. Make recommendations for change, update or vendor selection.

Insure a maintenance program for all equipment. Maintain service contracts and insure all repairs.

Insure cost controls.

Manage the use & minimize expenses of all equipment such as trucks, fork lifts, hand pallet trucks, ladders and other equipment.

**Warehouse Operations**

Maintain and update Company policy, work practices & procedures.

Insure accuracy of all work practices & procedures.

Establish standards and insure productivity against standards and benchmarks.

Establish and maintain security of operations & safety of employees.

Establish deliveries, pick ups, and courier service. Provide cost evaluations of differing deliveries methods.

Insure effective scheduling and routing.

Manage all emergency deliveries.

Insure that clients’ orders are scheduled, processed and delivered on-time.

Insure enough manpower to retrieve clients records and prepare for delivery.

Insure regular reconciliation of delivery discrepancies in EDC Inventory Control System.

Approve visitors to see or inspect the facility.

Supervise clients complains and ensure client satisfaction and problem resolution.

**Customer service**

Cooperate and work with sales force to manage customer procedures for efficiency & accuracy.

Meeting with major clients, conduct presentations and trainings together with Client Services manager.

Ensure accurate client set up in EDC Inventory control system including registration of authorized users and customer pricing.

Maintain and manage all contract provisions & revisions to correctly charge customers.

Communicate with customers in regard to problem resolution, satisfaction, etc.

Perform periodic customer satisfaction surveys based on regular schedule.

**Billing & Receivables**

Supervise monthly billing statements to clients to be accurate and sent out on-time.

Monitor clients receivables.

Identify and notify clients with outstanding invoices, and suspend any/all services until late payments are processed.

Prepare and provide financial & analysis reports to Managing Partners. Provide input for annual budgets & forecasts. Report the list of debtors to Managing Partners.

**Awareness of Competitive Market**

Create, manage and audit a service strategy for competitiveness.

Monitor & shop competitors on a 1/2 Yearly Basis.

Monitor new trends in the industry.
