The Contract Administrative Support Clerk position is responsible for general financial, administrative, and clerical duties in support of the operations of the Business Technology Services Division. These duties include, but are not limited to contract management, payment processing and financial preparation, asset tracking, and the provision of clerical support.
**As the **_Clerk B - Contract Administrator_**_, _**you will**:
- Maintain and balance a variety of financial accounts, reporting on and tracking discrepancies in actuals against projections and preparing corrections, as required or appropriate.
- Track contract renewals to ensure they are dealt with in timely manner.
- Track recoveries for services delivered to ensure payments are processed and reconciled with authorized service delivery quantities.
- Create and update reports and records, as required.
- Respond to inquiries regarding status of invoices.
- Perform budget data entry and submissions for annual budget activities and monthly budget projections.
- Maintain a filing system and process workflow for organizing and tracking documents and document approvals.
- Maintain asset inventories for hardware, software and licences.
- Generate Purchase Orders (in PeopleSoft) for the Branch and for the Division when required. Prepare and enters journal entries into PeopleSoft.
- Perform other duties consistent with the classification
**Your education and qualifications include**:
- Completed High School Grade 12/G.E.D or equivalent combination of training and experience.
- Previous experience providing clerical/administrative support in a customer service environment.
- Diploma or certificate from a recognized post-secondary institution in a business related field would be an asset.
- Experience in bookkeeping, office and general business procedures would be an asset.
- Demonstrated knowledge of accounting procedures and practices would be an asset.
- Demonstrated ability to compute accurate mathematical calculations and perform accounting reconciliations.
- Demonstrated ability to type accurately at 40 wpm (net).
- Demonstrated ability to work under minimum supervision.
- Demonstrated ability to maintain accurate records and files.
- Demonstrated ability to establish and maintain positive working relationships with colleagues, supervisors and employees at all levels of the organization, external contacts and the public, in accordance with the Respectful Workplace Standard.
- Demonstrated ability to communicate effectively both verbally and in writing.
- Ability to learn the functions within the PeopleSoft system within a reasonable period of time, as required for the position.
- Ability to perform miscellaneous clerical tasks consistent with the classification, as may be required.
- Must have demonstrated acceptable attendance and job performance relevant to this position.
- Demonstrated ability to exercise sound judgment.
