**What responsibilities will you have in this role?**
Reporting to the Academic Director, School of Nursing (with indirect reporting to the Chair (PSW, PN, PSW Pathway programs and the Senior Manager, Divisional Operations), the incumbent is responsible for managing and overseeing ongoing School of Nursing operational administrative processes including business planning, budgeting, and tracking financial activities of the School’s special projects. The incumbent will be accountable for database and scheduling management for all programs at the School under the direction of the Academic Director and Chair aligned to approved enrolment plans. The incumbent collaborates with other Operations Managers to lead the divisional budget development process encompassing enrolment and business planning.
The incumbent is responsible for providing operational leadership in consultation with the Academic Director and the Chair to support staff in the School of Nursing to provide assistance and direction to various stakeholders regarding the coordination of operational solutions for faculty and student-related issues including student advising, student recruitment, timetables, and course outline management systems.
- Leads database and scheduling management for all programs in the School of Nursing aligned to approved enrolment plans and working closely with Program Support Officers and consulting with the Academic Director and Chair.
- Collaborates with the Registrar’s Office scheduling team and the support staff team in the preparation of class schedule and class enrolment reports.
- Plans, manages, and modifies scheduling and course sections to respond to changes in enrolment in collaboration with program support officers and program coordinators and Academic Director and Chair.
- Develops processes for day-to-day operational and administrative procedures and is responsible to oversee activities and systems such as database, timetable, grade submission, CAPP reviews, PMT submission, COMMs submission management and textbooks.
- Liaises with Registrar’s office staff and other managers to identify and resolve system errors and process improvement requirements related to programming in consultation with the Academic Director and Chair.
- Oversees systems and processes related to the School of Nursing’s digital tools, supplies, services, and records management. Accountable for training related to operational systems and processes
- Manages program enrolment in conjunction with Senior Manager, Academic Director, Chair and Admissions and liaises with counterparts across the College divisions to ensure smooth and efficient delivery.
- Collaborates with other Operations Managers (CSHS) to lead the divisional budget development process encompassing enrolment and business planning.
- Oversees all budgetary related processes for the School of Nursing including planning, allocating, analysing, approving, transferring, and invoicing including special projects (eg. ministry expansion initiatives like the PSW-A projects).
- Monitors and analyzes the School’s budget and alerts Academic Director or Chair of any budget issues.
- Oversees and approves purchase requisitions, expense claims within budget.
- Provides budget forecasts and monthly reports regarding financial progress and outstanding commitments.
- Monitors and reviews the planning of course material revenues and expenditures to ensure fiscal accountability in the School.
- Consults with the Academic Director, Chair and other Managers in the School to determine equipment and tool purchase priorities based on budget allowance, condition of existing equipment and scheduled curriculum activities.
- Identifies areas of concern, recommends alternatives and makes adjustments to improve fiscal projections as required until budget approval process is complete.
- Supports the Academic Director and Chair in the recruitment, selection and hiring of contract faculty and staff.
- Oversees that new employees have required equipment/needs (computer, keys, ID cards) to effectively perform their duties.
- Maximizes staff productivity and job satisfaction through coaching and mentoring, and facilitates access to resources and professional. development of direct reports.
