We are seeking a compassionate, organized, and driven _**Client Care & Intake Coordinator**_ to join our growing team and support the day-to-day operations of our clinic. This role is ideal for someone who combines strong interpersonal skills with experience in client service and sales. As the first point of contact for prospective clients, you will play a key role in guiding them through the intake process, responding to new and returning inquiries, and ensuring a warm introduction to our clinic.

This is a unique opportunity to make a meaningful impact in people’s lives while using your relationship-building and client conversion skills to support the growth of a mental health practice.

**Key Responsibilities**:

- Respond to new client inquiries with warmth, professionalism, and urgency
- Conduct intake calls to assess client needs and thoughtfully match them with an appropriate therapist
- Follow up on previous inquiries and past consultations with the goal of converting them into scheduled clients
- Track and report on key metrics, including inquiry-to-client conversion rates
- Maintain accurate and up-to-date client intake records in documentation systems
- Collaborate with the clinical team to manage therapist availability and client fit
- Provide general administrative support related to client onboarding, including forms, appointment reminders, and responding to FAQs.

**Required Skills & Qualifications**:

- Minimum of 2 years of experience in a client-facing role with sales or conversion responsibilities (experience in healthcare, wellness, or service industries preferred)
- Exceptional communication and active listening skills, with a warm, non-judgmental, and client-centred approach
- Proven ability to follow up and guide conversations towards next steps with confidence and care
- Experience using CRM systems or scheduling platforms (e.g., Jane, Cliniko, etc.)
- Ability to balance empathy and compassion with business-minded thinking
- Comfortable working both independently and collaboratively within a team environment
- Able to multitask and hvae organized, and adaptable
- Able to multitask and have great organization skills
- Organized, with strong attention to detail and the ability to multitask effectively in a dynamic environment

This is a _**full-time independent contractor position**_, scheduled Monday to Friday, reporting to the Office Manager and Clinic Director.

Training will be provided.

**Job Types**: Full-time, Permanent

Pay: $18.00 per hour
