**Permanent Part Time**

**HOURS OF WORK**:14**Hours/Week

**START DATE/TERM**: Immediate

**REPORTS TO**:Supervisor, EarlyON Programs

This position provides administrative support to the EarlyON Programs team.

**RESPONSIBILITIES**:
**Administration**
- Support workshops and/or special events through enrolment, attendance, preparation of
supporting materials, set up/strike down, etc.
- Protect the privacy and confidentiality of participant information in accordance with Macaulay policies and procedures.
- General filing and document retrieval using electronic and paper systems as required.
- Purchase and maintain office supplies.
- Maintain a register of all office equipment and file bank master list.

**Data**
- Perform regular, proficient and accurate data entry.
- Use data tools provided to identify missing / incorrect data and follow-up as required.
- Research data instructions and/ or solutions as required.
- Contribute to ongoing data process improvement and maintain up-to-date data process records.

**Reception**
- Respond to all incoming calls and requests for information, direct calls in a professional and time sensitive manner. Follow through on time-sensitive requests.
- Receive and process all inbound, outbound, and internal mail and courier transactions.

**QUALIFICATIONS**:

- College Diploma/Certificate or an equivalent combination of education/experience in office administration.
- 2 years related administrative experience.
- Excellent oral and written communication skills is required.
- Detail-oriented with a keen eye for accuracy in data management.
- Strong organizational and time management skills.
- Proficient in Microsoft Office Suite (Word, Excel, SharePoint, Teams, Outlook).
- Experience working in Salesforce or other CRM software or databases is an asset.
- Typing speed 40 to 60 wpm with high accuracy is an asset.
- Ability to take direction with the ability/flexibility to adapt to multiple business requirements and changing priorities.
- Initiative and creativity to develop innovative solutions to challenges and problems.
- Strong customer service orientation.
- Meticulous records maintenance skills.
- Superior telephone manners and strong interpersonal skills.
- Demonstrated ability to build and maintain effective work partnerships with parents/families and colleagues of diverse backgrounds, abilities and identities.
- Highly motivated to continually strive for excellent results including on-going improvements to work processes.
- Able to work independently and within a team environment.
- Acceptable Vulnerable Sector Police Reference Check.

**SALARY**: Clerk, EarlyON Programs Hourly Rate: starting at $27.74/hour ($25.74- $32.25 - 5 levels)
