An integral part of Port of Thunder Bay’s strategy is expanding upon its success in utilizing Keefer Terminal as a hub in the movement of general and project cargo to and from Western Canada and international markets. The Port coordinates the activities of stevedores, trucking companies, equipment operators, railways, and fabricators to ensure that cargo is managed efficiently and that shippers derive value out of shipping cargo via Thunder Bay, The Superior Way West.

The Facilities Coordinator is a key member of Port of Thunder Bay team, reporting to the Director of Business Development and Terminal Operations. In this role, the Facilities Coordinator is responsible for supporting and coordinating the maintenance and capital development of Port properties. This includes overseeing the day-to-day terminal operations, managing contractors and physical resources, and ensuring the efficient functioning of the facilities. The Facilities Coordinator must be available during off-hours including nights and weekends to address any urgent needs or situations that may arise.

**KEY RESPONSIBILITIES**:
**1.** **Capital and Maintenance**
- Coordinates Port of Thunder Bay maintenance activities.
- Implements regular maintenance by employing qualified contractors.
- Develops and maintains relationships with qualified contractors.
- Performs facility inspections and reports on maintenance and capital requirements.
- Assists with contract administration of maintenance and capital projects.
- Develops Requests for Proposals and Tenders for maintenance and capital projects.
- Assists in negotiating maintenance contracts and one-time service agreements with vendors.
- Maintains maintenance equipment inventory.
- Performs other duties as assigned.

**2.** **Operations**
- Assists with preparing leases, contracts, correspondence, and reports.
- Liaises with tenants, contractors, terminal users, and stakeholders to support operations activities.
- Collaborates with management and tenants to develop and implement tenant space utilization plans for buildings and outdoor areas.
- Develops, communicates, and executes the Health and Safety Program including monitoring tenant and contractor compliance with applicable safety and operations regulations.
- Arranges berths for vessels in the absence of the Marine Services Coordinator.
- Gathers data for month-end reporting and billing.
- Completes projects and documentation to maintain industry affiliations and memberships including audit participation such as Green Marine.
- Assists with the preparation and updating of policy documentation.
- Participates as required, in business development activities such as trade shows and meetings.
- Performs other duties as assigned.

**3.** **Security**
- Liaises with contract security personnel to ensure operational requirements are met.
- In the absence of the Marine Services Coordinator: 1) Arranges additional security as required, based on marine and tenant activity, and 2) Maintains security records related to the port and Port of Thunder Bay’s terminals.
- Participates in annual port security exercises and security drills.
- Attends port security meetings, including acting as the secretary.

**QUALIFICATIONS**:
**Education/Experience**
- Post-secondary education in Facilities Management, Business Administration, Construction Management, or a related discipline, **OR**:

- Completion of a trade certification in areas such as electrical systems, plumbing, HVAC, or building maintenance
- Minimum of five years experience in facilities operations, construction field, renovations, and/or technical trade experience
