The Business Assistant is responsible for all coordination and executive support functions for the VP, Corporate Underwriting. This role also provides team leadership over the Administration team, and is accountable for management of all administrative functions to ensure the continued efficient operation of our Head Office Commercial Insurance functions. You will provide guidance, on-the-job training, technical instructions and direct leadership to assigned staff relative to performance, productivity, personal conduct, and adherence to processes and Corporate Policy and Procedures.

**What can you expect in this role?**

**Executive Support**
- Has full and complete responsibility for Executive’s calendar.
- Manage and schedule appointments independently to ensure most efficient use of the executive’s time.
- Plan and execute all aspects of meetings and special events including venue and technical support arrangements and the development of PowerPoint presentations.
- Initiate and manage documentation including highly sensitive and confidential information.

**Budget and Expenses**
- Develop framework budget based on historical data and business plans. Input budget, co-ordinate budget process and ensure deadlines are met.
- Monitor monthly reports and track expenses, following up on discrepancies when necessary.
- Review all direct report expense reports for accuracy and policy compliance.
- Complete, prepare, and submit payment of invoices and company expenses.
- Using own judgment, responsible for handling expenses to an authorized maximum amount.

**Administrative Team Lead Duties**

Has advanced knowledge and abilities relating to MS Excel and MS Word, which enables incumbent to develop and update information relating to the business portfolio and expenses, and to produce professional correspondence and documentation in support of office operations and the location leadership team
- Provide direction, coaching and support to those positions reporting directly and indirectly to you
- Responsible for completing performance reviews for the administrative staff reporting directly to you
- Arranges for relief/coverage in the event that the administrative assistants are absent or on vacation.
- Leads and engages a remote team.

- University degree, college diploma or CIP designation

- Strong problem-solving skills — ability to work independently and under tight timelines to handle a wide variety of activities and confidential matters with discretion and good judgment.
- Articulate — strong written and verbal communication.
- Attention to detail — excellent administrative and organizational skills.
- Minimum 3 years experience in a similar role with people leadership accountabilities
