**Position Overview**:
The Clerk Steno II is responsible to provide clerical support to the Community Safety and Wellbeing Division. The position will prepare and organize community safety and wellbeing documents and correspondence along with providing general information and customer service to the general public and internal departments.
This is a casual position of up to 6 months.
**Principle Duties & Responsibilities**:
1. Key Clerical Duties
- Perform standardized clerical, mailing, record keeping, data entry and filing duties.
- Accurately record data in applicable databases, documents or spreadsheets.
- Respond to public inquiries and provide assistance to requests and concerns regarding:
- Parking tickets, Bylaw and impound lot inquiries, Community Safety and Wellbeing
inquiries, etc.
- Prepare, collect, and/or transcribe routine items including but not limited to
correspondence, reports, lists, forms, meetings, requisitions, invoices, statements and
similar items.
- Accurately use and maintain complex filing systems, both manual and electronic and
retrieve information from those filing systems.
- Monitor and replenish inventory of office and meeting supplies.
- Prepare corporate documents, such as Tickets and Enforcement notices for execution and
dissemination, registered letters, Court documents, etc.
2. Key Customer Service Duties
- Answer general inquiries and provide information related to the Community Safety and
Wellbeing Division
- Assist internal departments and the public with information requests, and ensure they
are advised on proper completion of forms and required processes.
- Direct further customer inquiries and complaints to appropriate department areas.
3. General Duties
- Attend to all inquiries through personal, telephone, and written communication.
- Follow acts, regulations, bylaws, agreements, policies and procedures.
- Follow regulations, acts and policies of Occupational Health & Safety.
- Perform other related duties as assigned
**Required Qualifications**:
- Grade 12 or equivalent; and
- Certificate from an accredited institution in an office administration program; and
- Six (6) months related experience
- Minimum typing speed of 45 words per minute
