As a representative of the Brenda Strafford Foundation, the Receptionist is an active participant in The Foundation’s efforts to support an environment promoting a culture of resident safety and freedom from harm or injury. This role is also accountable to uphold the Mission, Vision and Values and the achievement of the strategic priorities of The Foundation. This position is accountable for ethical practice and the understanding of ethical behaviour and reporting as defined by The Brenda Strafford Foundation’s policy and process Key Resonsibilities: **Administrative**: x Operate a multi-line switchboard, answer phone inquiries and route all incoming telephone calls and messages x Greet visitors, receive routine inquiries in person, make appointments, arrange, conduct and record all tours of the Manor x Maintain reception departmental files and records, including correspondence, forms and routine office records and reports x Receive incoming mail and coordinate departmental distribution and process outgoing mail and courier delivery x Arrange taxi pick-up and return for residents, visitors or guests when necessary x Oversee bookings for meetings and conference rooms x Update Resident lists and directories on a weekly basis and distribute to departments x Word process various forms, documents, lists, reports, records, memoranda, letters or other typing assignments; check and proofread typed material for accuracy x Type, proofread and distribute various meeting minutes and agendas; x Complete compulsory education modules as per schedule: within six months of hire date, within 3 months of significant update or revision to training materials, and annually thereafter x Prepare monthly Activities & Recreation Calendars x Enter data into Avanti as provided by Education x Assist with the sale of visitor and staff meal vouchers x Assign and activate parking/door fobs x Perform other duties as may be assigned by the Supervisor **Safety**: x Maintain adequate standards of safety and cleanliness in the work area x Promote a culture of resident safety and freedom from harm and injury x Ensure infection prevention and control standards are implemented and maintained **Organizational Behaviour**: x Demonstrate a professional image to residents, visitors, peers and colleagues x Use a problem-solving approach to make decisions and resolve conflicts x Prioritize workload and meet deadlines x Promote a positive work environment by: ƒ Operating within the Manor’s Code of Conduct ƒ Respecting other’s opinions, judgements and abilities ƒ Respecting cultural diversity in others ƒ Using the proper channels of communication ƒ Managing conflict effectively ƒ Demonstrating flexibility and reliability **Why Join Us**: At The Brenda Strafford Foundation, we are more than a workplace—we are a united team.
