**About the Role**
**Major/Specific Responsibilities**
- Provides administrative assistance for various projects, patient scheduling and maintaining therapist schedules, minute taking (on a rotating/shared basis), word processing and record management through various resources (hard files, electronic medical record keeping system)
- Supports clinic reception operations by adhering to reception policies and procedures: o Provides high quality customer service to internal and external customers (members and non members). o Greets guests and members by name where possible. o Obtains and process information required to provide the appropriate service for the patient. o Books new and follow-up appointments for clients and patients. o Answers, screens and redirect phone calls via the phone system and call schedule. o Updates clinic database with client information and maintains filing system.
- Providing general administrative support to the reception team, all therapists and between departments for clinic marketing initiatives and other clinic functions as necessary.
- Supports and promotes a clean, safe clinic environment for the security of clinic staff and the enjoyment of members and non-members.
- Drafting and preparing official correspondence, responses and reports for clinic manager and director
- Other projects and assignments as assigned.
**Working Relationships/Contacts**
- The Clinic Receptionist has many working relationships, which are imperative for the functioning of the overall Clinic.
- These include working with the patients, fellow therapists working for the clinic and throughout the sport medicine community, the reception team, and the management team across the club and club wide, vendors and the members.
- The Clinic Receptionist will help nurture the relationships from external referral sources including medical doctors, surgeons, professional and amateur sports team therapists and doctors and HR managers from corporate relationships.
**Qualifications/Requirements**
- Good organizational and time management skills with demonstrated ability to work with mínimal supervision in an active, friendly environment.
- Sound professional judgment in dealing with all levels of staff, patients and volunteers, patients and members.
- Excellent interpersonal and customer service.
- Experience in clinic reception environment an asset.
**Skills/Knowledge/Attributes**
- Highly developed computer literacy in a wide range of administrative support programs (i.e. EMR, MS Word,
Excel and PowerPoint, Adobe, etc.).
- Excellent writing and communication skills exhibited through positive interactions with patients, members, staff and therapists.
- Working independently on projects and collaboratively, as part of a team, is a required skill.
