We're currently seeking a **Client Experience Coordinator Lead** for a **1-year maternity leave contract at our Main street location**, someone ready to take the reins of a well-run studio and lead with both heart and precision, with an opportunity to stay with the company after the contract ends.

**About the Role**
As the **Lead Client Experience Coordinator**, you’ll be the right hand to our offsite Client Experience Manager (CEM), ensuring the day-to-day operations of our studio run seamlessly. You'll be a go-to support for our Client Experience Coordinators (CECs), lead front-of-house operations, and help keep everything—from therapist schedules to insurance payments—on point.
This is a dynamic role that balances team leadership, administrative coordination, client care, and problem-solving, all in a wellness space that values thoughtfulness and trust.
**What You’ll Be Responsible For Team Leadership & Support**
- Lead, support, and guide the front-of-house CEC team day-to-day
- Monitor workflow and team performance, and help troubleshoot issues as they arise
- Foster a positive and accountable team culture
- Collaborate closely with the CEM to ensure consistent service delivery and high standards
**Client Experience**
- Ensure all client-facing interactions reflect our brand values of care and excellence
- Respond calmly and promptly to minor client disruptions
**Studio & Operations Oversight**
- Manage CEC scheduling, shift coverage, and coordination of new hires
- Oversee inventory, cleanliness, and studio upkeep
- Facilitate team meetings and maintain open communication across the studio
**Accounts Receivable & Admin**
With oversight and support from the CEM, you’ll lead the AR process:
- File and maintain remittance records
- Follow up on outstanding or delayed payments
- Escalate complex issues as needed
**Client Engagement & Reporting**
- Oversee new client tracking and follow-up systems
- Coordinate monthly unscheduled client reports and client retention efforts
- Manage clinical record requests, including invoicing and file distribution
**Who You Are**
- You have **1+ year in a customer service or client-facing role**, ideally with some team coordination or leadership experience
- You’re highly organized and thrive in a busy, multi-tasking environment
- You take initiative, spot inefficiencies, and like making things smoother for others
- You’re confident using digital systems (bonus if you're familiar with booking/accounting software)
- You’re an excellent communicator—clear, kind, and calm under pressure
- You’re passionate about health, wellness, and making people feel truly cared for
