**The Opportunity**
Leavitt Machinery is looking for an organized and detail-oriented **Branch Administrator & Service Dispatcher** to join our team in Sparwood, BC on a 12 month contract. As the Branch Administrator & Service Dispatcher, you will be responsible for managing Service jobs from start to finish, including scheduling and directing work for Technicians, and ensuring customer expectations are met. You will also be responsible for directing customers and visitors at the branch.
**Essential Duties & Responsibilities**
As the Branch Administrator & Service Dispatcher, your key responsibilities will include:
- Organize and manage Service jobs and incoming leads
- Schedule work for Technicians, using the service scheduler to prioritize appointments
- Branch reception duties, including answering phone calls, transferring callers to the correct person, and directing walk-in visitors at the branch
- Communicate with Service and Parts team members to ensure workloads are maximized and customer needs are managed proactively
- Maintain frequent customer contact and ensure customer satisfaction prior to initiating the billing process
- Review WIP reports and bill applicable service calls to customers
- Track invoices and contact vendors for Parts and Service invoices
- Open and update all work orders in ERP system
- Proactively identify and recommend process improvements
**Required Skills & Qualifications**
- Previous administration and/or customer service experience
- Previous dispatching and/or scheduling experience is a strong asset
- Strong proficiency with MS Office Suite (Word, Excel, Outlook)
- Excellent organizational skills, planning skills, and multitasking ability
- A customer service mindset and excellent verbal and written communication skills
- Strong ability to think outside of the box, solve problems, and satisfy customer needs
- Ability to thrive in a dynamic work environment

The base pay range for this role is: $50,000 to $55,000 per year, depending on experience.
