Part Time Receptionist

The Receptionist is the first point of contact for customers. This position is responsible for answering phones, greeting customers, and other administrative functions. The Receptionist will be passionate about creating a professional relationship with the customer with the objective to create Brand loyalty.
The Receptionist is an excellent multi-tasker: able to answer phones promptly and after the phone call return to the prior task. Their strongest features include being organized and reliable and continuously working on creating a welcoming environment for customers. The Receptionist must be a team player to ensure the proper employees are notified when a customer enters the dealership.
Administrative procedures are always followed appropriately by the Receptionist. Professional attire and grooming is required on a daily basis.
As a dealership can be a high-pressure environment, the Receptionist is able to work under pressure and keep a calm and positive body language to reassure customers.
**Major Duties and Responsibilities**
- Welcomes and assists customers by phone and in person, maintaining a pleasant and friendly demeanor.
- Accurately records messages and information, ensuring exceptional service delivery.
- Develops strong relationships with customers and team members by greeting them promptly and courteously.
- Listens to customer needs, takes timely actions, and handles queries with genuine intent to resolve issues.
- Keeps detailed records of all customer interactions and manages follow-up tasks effectively.
- Documents customer needs and expectations, ensuring accurate and timely completion of administrative tasks.
- Files all necessary paperwork and regularly reviews actions to improve time management and planning.
- Stays up to date with brand training, new features, and special updates, acting as a champion for service excellence.
- Maintains cleanliness in personal and team workspaces and demonstrates high professionalism in body language, etiquette, and appearance.
- Completes work orders and manages dealer trade paperwork, coordinating all necessary activities for dealer trades.
**Minimum Qualifications and Skills**
- High School Diploma (or equivalent), or working towards a High School Diploma.
- Experience in customer service.
- Experience in reception at a dealership, an asset.
- Excellent customer service skills including superb telephone demeanour and active listen skills.
- Excellent written and oral communications skills.
- Team oriented and enjoys working with others toward a common goal.
- Proven ability to work well under pressure while maintaining a calm demeanour.
- Proven ability to be organized and prioritize tasks.
- Has a keen eye for detail.
- Excellent interpersonal skills with an upbeat and engaging attitude.
- Flexible and open to change; able to take on special tasks as needed.
- Hold’s a valid driver’s license.
- Able to manage customer complaints and to solve difficult problems.
- Available to work evenings (3:30 PM - 7 PM) and Saturdays.
