Reporting to the Dean and Placement Coordinator, the Academic Clerk is responsible for the day-to-day operational and high-level administration support for academic and student services programs.

**This position is expected to work on-site at the College’s campuses;**_**it is NOT a remote job.**_

**RESPONSIBILITIES**

A summary of the overall role purpose, includes but is not limited to, encompasses the following:

- Provide day-to-day support to ensure that academic operations smoothly
- Work closely with Placement Coordinator s as well as other college departments
- Collect important documentation in preparation for student's placement opportunities
- Ensuring all college faculty receive their semester timetable, teaching resources, textbooks and access to grade entry system; collecting syllabus and ensuring students are receiving syllabus from instructors within the designated timelines, assist with the updating and distributing course related material as required
- Coordinate textbook return/pick-up for faculty
- Provide daily support to Placement Coordinator, such as helping resolve issues with students
- Monitor accounts on PeopleSoft portal; verify and print reports for grade submissions, attendance reports, etc.
- Assist in invigilating during Midterm and Final exams; collect exam rosters / exam papers from instructors and ensure they are organized and securely stored
- Monitor submissions and produce reports for Internal Faculty Surveys (IFS)
- Coordinate and book rooms for academic meeting and events and arrange for catering (if needed)
- Work rotating evening and weekend shifts to support college functions

**Preferred Skills / Qualifications**:

- Bachelor’s degree; higher degrees in appropriate fields related to our programs are considered an asset
- Minimum 1 year experience working in a post-secondary setting, front-facing role along with skills pertaining to International Students is an asset
- Experience working with, supporting internal and external stakeholders is an asset
- Skills and experience working with a multicultural clientele
- Strong working knowledge of academic operations, office administration and IT
- Possess data gathering and analysis skills
- Must have excellent advanced level spreadsheet skills, along with excellent ability with numbers
- Excellent interpersonal skills, conflict resolution skills, behavior management skills and collaborative ability of a high level are required in order to be able to work effectively across section or departmental boundaries
- Strong planning and organizational skills; within parameters established by your manager, you will liaise with team members to ensure others’ actions are complete and required information is provided on a timely basis
- Ability to comply with policies regarding confidentiality, privacy and record keeping
- Ability to work independently and as part of a team
- Excellent verbal and written skills to be expressed across all communication channels
- Criminal reference check completed within the last 6 months is required

Pay: $18.00-$21.00 per hour
