Finance/insurance Assistant

As a Finance and Insurance Assistant, you will play a crucial role in supporting the finance and insurance team by providing administrative and clerical assistance. Your primary responsibility will be to ensure efficient and smooth operations within the finance and insurance department, maintaining accurate records, and delivering excellent customer service.
**Responsibilities**:
- 1. Administrative Support:_
- Prepare and process documentation related to vehicle financing
- Coordinate with lenders and insurance companies to gather necessary information and ensure timely completion of transactions.
- Review and organize all files related to vehicle purchases within a timely manner, should not exceed one hour after the F&I department has turned it over.
- Files placed in the same order every time; Ownership, insurance, void, rebates, acknowledgement forms, disclosures, bank documents, bill of sale, warranties. Mark on the front of files if anything is missing or needs correction.
- Calculate amounts due at signing.
- Prepare vehicle licensing (remove from file prior to returning to F&I)
- Send documents for funding post delivery and have deals funded within 24 hours.
- Additional duties may be required related to the completion of documents as directed by the Finance or Sales team.
- 2. Customer Service_
- Collaborate with the sales team to ensure a seamless and positive customer experience throughout the purchasing process.
- Contact customers for any missing documentation both pre and post delivery
- Collaborate with insurance agents to ensure all vehicles are properly insured prior to delivery
- 3. Compliance and Documentation_
- Ensure compliance with all legal and regulatory requirements related to finance, insurance, and vehicle sales.
- Verify the accuracy of financial documents and contracts, and obtain required signatures and approvals.
- Maintain confidentiality of customer information and adhere to data protection guidelines.
- Stay updated on industry trends, changes in finance and insurance regulations, and best practices to ensure compliance and efficiency.
