Privacy Operations Specialist

The Privacy Operations Specialist will provide privacy advisor services, support privacy operations, and assist in developing and implementing the privacy program and supporting the Privacy Officer and other members of the team as required. They are responsible for monitoring program compliance, investigation and tracking of incidents and breaches, and ensuring customer’s rights.

What you'll do:
- Responsible for the overall management of the Privacy Mailbox- Lead all aspects of BAU breaches managed by the Privacy Investigators- Coordinate completion of DSAR’s and ensure they are done within the legislated timelines- Participate in the TPISA process, ensuring all privacy related matters are addressed- Assist the Privacy Investigators with the handling of non-complex PIA’s and manage all mid-complexity PIA’s- Responsible for the scheduling of BU training across all business divisions. (Excluding Privacy Champion Training or specialized training which will be managed by the Senior Managers)- Respond to BU privacy inquiries from mailbox, raise to Senior Managers when required- Research privacy matters assigned by Senior Managers and/or the Privacy Officer (privacy policy, legislation, decisions) and delegate to Privacy Investigators as appropriate- Assist with the drafting of materials as assigned, i.e., guidance, newsletter materials, Aviva World materials, etc.- Ad hoc projects as assigned by the Privacy Officer- Assist in the creation of an audit tool to be used internally within the Privacy Office and for auditing of privacy related matters handled by the business divisions- Finalize and review operational Privacy Compliance Audits and assist the Privacy Officer with delivering the results to the (Aviva Canada) business- Conduct research and provide recommendations on Privacy compliance trends- Assist the Privacy Officer with mentoring of Privacy Investigators.- Mine Aviva’s Privacy data for insights on reporting and providing recommendations to resolve problem areas- Provide mentorship and support to Investigators on Privacy resource material to be built for the business, including development.- Assist Privacy Officer in identifying and categorizing Privacy risks within (Aviva Canada) the business.- Run a Privacy incident reporting process- Assist the Privacy Officer with providing support to Aviva's operational units/Privacy Champions with respect to Data Privacy for day-today activities and projects- Track privacy metrics analyze trends and prepare reports to meet local, Aviva Group reporting, regulatory and other business requirements- Function as Lead and Subject Matter Authority on the Jira platform, Confluence and Sharepoint sites- Project work, as assigned

What you'll bring:
- A formal post-secondary degree (business or commerce preferred) and/or additional relevant training from professional industry organizations (e.g., CIP) required.- At least five years working experience in a regulated financial services organization (preferably P&C insurance) or a highly regulated industry, additional Privacy experience preferred.-
- Proven ability to manage projects, negotiations, and relationships both internal and external.- Effective at building relationships and gaining credibility with various internal and external collaborator groups- Excellent oral presentation and facilitation skills are required- Strong proficiency in reporting and analysis deliverables- Strong proficiency using the Microsoft Office suite of products, proficiency in JIRA an asset- P&C industry knowledge relevant to specific responsibilities which includes all aspects relevant to Core Activities.- Excellent collaboration, teamwork, and problem-solving skills- Excellent oral and written communication and problem-solving skills- Decision making and judgment - ability to bring judgment to facts and problem solve effectively- Delivers results - ability to focus on key issues, uses resources effectively with a can-do attitude- A high level of integrity and trust.- Strong drive - self-starter and able to work on own initiative
