**Summary**
The Compliance Administrator supports the Sales Department in the One Price, One Touch model of selling cars. This role operates as a compliance specialist ensuring that the paperwork, delivery and other activities regarding the sale of the vehicle have been initiated or completed.

**Duties and Responsibilities**
- Manage vehicle contracts once initiated by Brand Ambassador/Specialists.
- Processes finance and lease deals accurately and fairly through financial sources to secure approval. Ensure that funding documents are fully completed and signed by customers, then sent to the relevant funding company for processing.
- Performs lien check on all trade-ins and confirms payout/lien amount with financial institution and confirms buyout terms. Checks all paperwork for correct title, lien information, taxes etc. prior to forwarding to accounting. Completed deals to be scanned to the Deals Team at Head Office. This must happen within 48 hours of the car being delivered.
- Confirm that deposit has been received for sold vehicles.
- Prepare licensing, track down safeties and ownerships for used vehicles. Prepare documents for Licensing and drop off to Service Ontario
- Creating Bills of Sale.
- Rebates/Factory Incentives; if customer qualifies for any rebates, ensure submission for rebates are sent and received.
- Entering warranty purchases to DMS (CDK).
- Processes all federal, provincial, and corporate paperwork related to vehicle transactions.
- Ensure that Retail Delivery Registration (RDR) takes place for each vehicle sold. This is registering the vehicle to the manufacturer.
- Request cheque requisition for lien buy-outs.
- Makes photocopies of cheques, receipts, ownerships for files.
- Schedule deliveries of sold vehicles to customers. Confirm Delivery appointment with the customer and Salesperson.
- Maintains customer and company confidence by keeping information confidential and secure.

**Skills and Qualifications**
- Post-secondary degree/diploma is preferred, but not required
- Minimum 1-2 years experience in a comparable role is required
- Experience with automotive programs or finance is an asset
- Ability to work flexible hours (evenings and weekends) based on retail hours of operation.
- Experience working in a deadline driven environment (i.e. able to meet tight timelines during month end closing)
- Able to review their own work
- Possess the ability to build strong relationships.
- Detail oriented, organized, efficient and able to manage a large amount of paperwork
- Excellent interpersonal and communication (verbal & written English) skills
- Strong aptitude for numbers and strong analytical skills
- Ability to work efficiently and effectively under pressure with simultaneous deadlines
- Ability to maintain confidentiality of pertinent data
- Proficiency with CDK and/or Reynolds & Reynolds (or other DMS) is preferred but not required
- Intermediate level excel knowledge is required
