Client Intake Coordinator

**Overview**
Our client, a well-established family law firm, is currently seeking a professional and detail-oriented Client Intake Coordinator to join their team. This full-time, in-office role is ideal for someone who excels in a fast-paced environment and is passionate about delivering a warm, efficient, and supportive experience to prospective clients at the first point of contact.
**Key Responsibilities**:
- Engaging in thoughtful conversations to understand client needs and determine alignment with the firm’s services
- Clearly communicating the intake and consultation process, including timelines and expectations
- Scheduling client consultations and ensuring all required intake documentation and payments are submitted in advance
- Maintaining accurate records and managing task flow within the firm’s CRM
- Following up with leads to ensure a smooth and timely intake experience
- Collaborating with internal teams to support seamless handoffs between intake and legal staff
- Identifying opportunities to improve the intake process and enhance the overall client experience
- Meeting targets for responsiveness, client follow-up, and intake quality
**Qualifications**:
- Minimum 2+ years of experience in client service, intake coordination, or a similar role— preferably in a professional services or legal setting
- Exceptional communication skills with a warm, confident, and empathetic approach
- Strong organizational and time management abilities with keen attention to detail
- Ability to manage multiple priorities and work well in a deadline-driven environment
- Proficient in CRM platforms; experience with HubSpot considered an asset
- A collaborative and proactive team player with a commitment to delivering excellent service
