**Job Summary**

We are seeking a highly organized, detail-oriented, and proactive **Project Assistant** to support our Senior Project Manager in the execution of large-scale residential and mixed-use developments. This role is ideal for someone who thrives in a fast-paced environment, enjoys working across multiple teams, and is passionate about real estate development and construction. You will play a critical role in ensuring the smooth flow of project information, documentation, and communication across all phases of development—from pre-construction through to stabilization.

**Key Responsibilities**

**Project Coordination & Administration**
- Maintain and update project schedules, trackers, and documentation.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Assist in the preparation of internal and external reports, presentations, and project summaries.
- Support the Senior Project Manager in managing project timelines, deliverables, and consultant and contractor coordination.

**Stakeholder & Consultant Liaison**
- Act as a point of contact for consultants, contractors, and municipal authorities.
- Coordinate the flow of information between internal departments (development, construction, finance, and property management).
- Help manage communication logs and ensure timely responses to project inquiries.

**Document & Contract Management**
- Organize and maintain digital filing systems for permits, contracts, drawings, and correspondence.
- Track document revisions and ensure version control across all stakeholders.
- Assist in the preparation and review of RFPs, consultant agreements, and change orders.

**Financial & Procurement Support**
- Track invoices, purchase orders, and budget updates.
- Assist in preparing cost reports and financial summaries for internal review.
- Support procurement processes including vendor onboarding and contract execution.

**Property Management Support (as required)**
- Provide administrative support to the property management team for stabilized assets.

**Qualifications**
- Diploma in Building Technology.
- Post-secondary education in Business, Real Estate, Construction Management, or a related field (will be considered an asset).
- 2+ years of experience in a project coordination or administrative role, preferably in real estate development or construction.
- Strong organizational and time management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
- A proactive mindset with a strong attention to detail and a commitment to continuous improvement.
