**The Position**:
The Project Coordinator will support the Director, Research and Policy Development in creation and ongoing development of the Newcomer Knowledge Hub, a public and privately funded initiative operated by Immigrant Services Calgary (ISC) on behalf of the Gateway partnership of newcomer-serving agencies, funders, and supporters. A key member of the Newcomer Knowledge Hub, the Project Coordinator will be responsible for coordinating project activities on a day-to-day basis and play a critical role in development and execution of the Newcomer Knowledge Hub Strategy. The Project Coordinator will bring experience in project management and research coordination in non-profit or corporate environments.

This is a temporary full-time maternity leave coverage.

**Duties and Responsibilities**:

- Oversee and monitor project progress; coordinate and implement timelines for reports and deliverables; create status reports for the Director and stakeholders.
- Assist in the development of ongoing deliverables and organize the submissions.
- Assist in the analysis and review of information required for reports, funding requests, and project deliverables.
- Assist in the development, tracking, delivery, and improvement of key performance indicators, metrics, objectives, and key results.
- Attend and assist in organizing and facilitating internal and external meetings; prepare and distribute accurate and detailed meeting minutes in a timely manner.
- Manage and track project decisions, action items, risk, issues, and change requests.
- Liaise with stakeholders to identify and define requirements, scope, and objectives of side projects.
- Act as a point of contact in the project team.
- Maintain comprehensive project documentation, plans, and reports; perform administrative tasks as dictated by project requirements.
- Support the Director with project execution, budget and schedule management, and other project responsibilities as requested.
- Support and collaborate with the team members in achieving project goals.
- Assist in project coordination and synchronization of tasks.
- The project coordinator will be a strong team player, quick in solving problems, and efficient in eliminating blockers.

**Qualifications and Skills**:

- Bachelor’s degree in Business, Project Management, or related field. Master’s degree will be an asset.
- Minimum 3 years proven work experience as a Project Coordinator or similar role.
- Experience in project management, from conception to delivery.
- An ability to prepare and interpret flowcharts, schedules, and step-by-step action plans.
- Familiarity with designing and analyzing program evaluation is a must.
- Solid problem-solving, organizational, analytical, quantitative, leadership, multitasking, and time-management skills.
- Excellent oral and written communication skills with a demonstrated ability to write concise, articulate, persuasive, and impactful reports; French proficiency will be an asset.
- Strong teamwork skills; ability to work independently and in teams, take initiative and use good judgment.
- Strong proficiency across Microsoft Office including Word, Excel, PowerPoint, Planner, Teams, Outlook, SharePoint, Project, and Power Automate.
- Hands-on experience with project management tools (e.g. Basecamp or Trello).
- Ability to anticipate roadblocks and plan appropriately to mitigate risks.
- Must be detail oriented and have excellent follow through in a fast-paced and high-volume environment.
