Calgary, Canada Little Whispers Respite Services Full time

The **Program Manager** is a leadership role responsible for the day-to-day coordination, supervision, and quality assurance of all programs and services delivered by Little Whispers Respite Services.

This includes overseeing **respite care, supervised family visits, transportation services, and family support coordination**. The Program Manager ensures compliance with all agency policies, accreditation standards, and funding requirements while maintaining a trauma-informed, culturally safe, and family-centered service environment.

**Program Coordination & Operations**
- Oversee the daily operations of all Little Whispers programs, ensuring smooth delivery of **respite**, **transportation**, and **supervised family visit** services.
- Manage and update staff and client **scheduling** in organizational systems (e.g., ConnectTeam or similar software).
- Coordinate service delivery with external partners, including **Tsuut’ina Nation departments, disability programs, and child and family services agencies**.
- Ensure documentation, logs, and reports are submitted accurately and on time.
- Implement and maintain agency **Health & Safety protocols**, including drills, safety checks, and incident management.

**Staff Leadership & Supervision**
- Supervise and support a team of Family Coordinators, Team Leads, and frontline staff.
- Conduct **weekly staff check-ins**, **performance reviews**, and **one-on-one coaching sessions**.
- Approve staff payroll hours and mileage; ensure accountability for time and service documentation.
- Address staff concerns and support ongoing professional growth through **training and mentorship**.
- Coordinate **training sessions, orientations, and safety drills**, ensuring compliance with CAC standards.

**Administrative & Reporting**
- Review, edit, and submit **program reports, incident reports, and progress summaries** to funding agencies.
- Support with **accreditation preparation, documentation, and compliance audits** (CAC or other).
- Track and monitor **program metrics**, staff performance, and service outcomes.
- Assist with the development of **policies, procedures, and training materials** as part of ongoing quality improvement.

**Family & Community Coordination**
- Serve as the primary liaison for families and community partners, ensuring communication is clear, respectful, and timely.
- Conduct **intake meetings**, assist in developing care and behavior plans, and coordinate individualized supports.
- Maintain professional and empathetic relationships with families, upholding confidentiality and cultural sensitivity.
- Facilitate problem-solving and ensure responsive communication during crises or schedule changes.

**Field-Based Responsibilities**
- Work **hands-on in the field** as required to support staffing needs, family visits, or high-needs clients.
- Model trauma-informed and culturally respectful care during interactions with children and families.
- Conduct **site visits, home checks, and transportation audits** to ensure service standards are maintained.
- Be available for **on-call duties** to respond to emergencies or urgent scheduling changes.

**Qualifications**
- **Post-secondary education** in Human Services, Social Work, Child and Youth Care, Psychology, or a related field.
- **Minimum 3-5 years’ experience** in human services or child and family programming.
- Experience supervising or coordinating staff in respite, child and youth, or disability services.
- Strong administrative skills: scheduling, payroll, report writing, and documentation.
- Familiarity with **CAC or CARF accreditation standards** (or willingness to learn).
- Demonstrated ability to lead a team using trauma-informed, strength-based, and culturally competent practices.
- Proficiency with digital tools such as **QuickBooks, ConnectTeam, Microsoft Office/Google Workspace**.
- Valid **driver’s license, reliable vehicle, and clear criminal record check with vulnerable sector search**.
