**Workforce Planning Coordinator**

**The Role**:
The Workforce Planning Coordinator supports the Workforce Planning Team in managing different aspects of the workforce planning function. Responsibilities include administrative activities including but not limited to entering schedules into Workday, preparing reports, and following up on action items ensuring timelines are met.

**Key Responsibilities -**
- Support Workforce Planning activities on an administrative front such as data entry, monitoring system reports etc.
- Ensures the schedules in Workday align with the posted schedule
- Monitors system reports, and supports Manager, Workforce Planning in workforce planning processes
- Identifies gaps in standard operating procedures as it relates to workforce planning related activities
- Creates standard operating procedures with insight to continuous improvement
- Prepares reports on employee business transactions in the HCM system (Workday) identifying issues related to workforce planning
- Responds to inquiries and provides information to contacts regarding program specific administrative processes which may involve coordination of information with others to provide services and resolve problems.
- Prepares documents, correspondence, spreadsheets and reports as requested utilizing MS Office software and other specialized software/technology.
- Support the delivery of administrative services including searching, accessing, manipulating, verifying and setting up data and maintaining systems
- Supports the training and the development of resources and training material for timekeeping as required
- In collaboration with the People Experience Team, responds to inquiries from department staff related to Workday, time entry and time off processes
- Participate in the testing of Workday configuration changes and/or new releases related to Workforce Scheduling
- Provide support in identifying and researching issues which are confidential, and which will have Labour Relations Implications
- Develops and sustains contacts with industry counterparts to build information exchange networks and maintain best practice knowledge
- Monitors effectiveness of related programs; develops HR metrics for programs/initiatives to measure outcomes and responds to results by adapting programs if required

**Knowledge and Skills-**
- Presentation skills to deliver and encourage adoption of workforce planning across the organization.

**Education and Experience-**
- Undergraduate degree with a focus in Human Resources Management or a related field, or a combination of education, training and experience deemed equivalent;
- Minimum of 2 years' workforce planning experience, preferably in the public sector and/or unionized environment.
- Experience with interpreting legislation, regulations, policies and procedures pertaining to workforce scheduling and provides recommendations and guidance as directed by the Manager, Workforce Planning.
- Advanced working knowledge of HR systems (Workday) and Microsoft Office suite.

**Attributes and Competencies-**
- Ability to follow through and successfully manage through difficult interactions.
- Ability to communicate verbally and in writing with employees, managers, etc. on decisions related to workforce planning programs and policies
- Ability to collaboratively work with team members to achieve goals, problem-solve broader HR issues and contribute to HR projects.

Duration: Permanent

Hours of Work: Full time, 36.25 hours per week
