**Position Summary**:

The Assistant Archivist works under the guidance of the Manager of Archives Services / Archivist and collaboratively with other Assistant Archivists plus staff at six municipalities. The Assistant Archivist is responsible for collections management and development, cataloguing and digitization, reference and research services and public outreach. As part of a team with rotating responsibilities, the Assistant Archivist could have leadership responsibilities for each of these core business functions as required to meet operational needs.

**Primary Responsibilities**:

- Support Manager of Archives Services/Archivist and other leadership staff by providing insight and advice on the development of policies, strategies and tools for accessible and effective information and knowledge management for 6 municipalities.
- Recommend policies and procedures for all Archives operations.
- Create plans for and complete projects involving cataloguing and digitization, collections management and development, reference and research services and public outreach for annual workplans.
- Maintain the integrity and authenticity of the Archives’ collections.
- Ensure all archival records are appropriately preserved, catalogued, and accessible when required.
- Manage public database of digitized collections (such as local newspapers)
- Ongoing maintenance of and detailed annual review of the Archives Disaster Prevention and Response Plan.
- Provide excellent customer service via research and reference services to the general public and municipal staff.
- Create monthly reports for the Manager of Archives Services/Archivist.
- Attend Perth County Council meetings and Municipal Shared Services Committee meetings as required to present reports on Archives operations.
- Perform conservation treatments on archival material.
- Maintain paper and electronic files created by Archives staff in accordance with MFIPPA (Ontario Municipal Freedom of Information and Protection of Privacy Act) and County records retention schedules and have proficiency with electronic document management software such as FileHold.
- Perform tasks relating to the annual collections condition assessment and cleaning of the collections room.
- Perform audits to review for deterioration and identify solutions to correct issues as soon as possible.
- Plan and execute donor recognition events.
- Perform public outreach through preparation of digital content, newspaper articles and displays highlighting Archives holdings. Public outreach may include public speaking opportunities and working with partner organizations such as the Stratford and District Historical Society, Stratford-Perth Museum, and local libraries to organize community events.
- Maintain inventory of books for sale.
- Reconcile Reading Room cash box receipts and create weekly reports for County Finance.
- Collect mail from the roadside mailbox.
- Adhere to the Occupational Health and Safety Act and County of Perth policies and procedures.

**Qualifications**:

- 1-3 years of previous experience with archival collections.
- Ability to maintain a high level of confidentiality and operate per related legislation such as Ontario Municipal Freedom of Information and Protection of Privacy Act, Municipal Act, Education Act, Vital Statistics Act and federal Copyright Act.
- Reference and negotiation skills required for client service and working with donors.
- Ability to prioritize workload, meet deadlines, be detail-oriented and accurate in a busy work environment.
- Current knowledge of best practices for scanning documents and standards for resolution, compression, file format etc.
- Ability to create accessible and engaging content for newspaper articles, websites and social media.

**Shift**:

- Monday to Friday, 8:30 am to 4:30 pm (35 hours per week) with occasional evening and weekend work as required.

**Salary Range**:

- $58,658.60-$68,650.40 (based on Perth County’s 2025 salary grid).
