We are looking for a highly motivated professional to contribute to the Recreation & Cultural Services Department.
Reporting to the Administrative Supervisor (Recreation & Cultural Services) this role is responsible for the coordination and administration of facility and park permits/rentals.
**Duties and Responsibilities**
- Responsible for responding to enquiries and liaising with the public, staff and community groups.
- Administers the scheduling of indoor and outdoor facilities including arena ice pads, ball diamonds, soccer pitches, tennis courts, pavilions, and other community rental space.
- Collects user fees and processes payments.
- Prepares and coordinates rental contracts, ensuring compliance with Town by-laws, LCBO, Public Health Act, SOCAN, departmental policies and guidelines.
- Implements and enforces policies and procedures for bookings, payment collection.
- Promotes and markets the use of facilities/parks in order to maximize the use and revenue generated by the facilities.
- Organizes and attends meetings with user groups to negotiate seasonal ice time and field usage, creates schedule and administers permits/payment schedules.
- Liaises with appropriate departmental staff for set-up and amenities requirements.
- Coordinates seasonal bookings allocations and administers the Active Net facility booking program.
- Maintains statistics and prepares reports on ice, ball, soccer, tennis participations and usage.
- Responds to inquiries/concerns and/or refers and/or resolves complaints from Community Associations, user groups, the general public and staff.
**Key Competencies and Qualifications**
- Diploma in Recreation & Leisure Services or related.
- Three (3) years related experience in the coordination and administration of facility bookings and reservations, preferably in a municipal setting.
- Proficient with information technology systems including Microsoft Office and preference given to those with experience in ActiveNet (including maintain and troubleshooting)
- Previous experience in accounts receivable, and payment processing in an asset.
- Exceptional organizational skills, with the ability to prioritize work and meet deadlines under pressure.
- Strong communication and customer service skills and ability to deal courteously and effectively with the public, and community groups.
- Ability to effectively convene meetings with user groups as required.
- Ability to promote a culture of inclusiveness and work with a diverse population of employees, participants, agencies and the public.
- Ability to complete a Criminal Record and Judicial Matters Check upon hire.
The position offers a salary range of $58,876 to $71,564 (2025 rates) based on a 35 hour workweek plus a competitive benefit package and an option for flexible work arrangements.
