**Position: Finance Clerk**

**Reports to: Corporate Services Manager**

**Salary: Level 4 ($47,362- $53,306)**

**Summary**:
The Finance Clerk is responsible for managing the day-to-day financial transactions related to accounts payable (AP) functions within the municipal government. This role ensures accurate processing of invoices and payments while adhering to the Town’s policies and financial regulations and assists with tracking, reporting and maintaining records related to capital projects, provincial and federal government grants and funding agreements. The position requires strong attention to detail, excellent organizational skills, and a sound understanding of accounting principles.

**Duties and Responsibilities**:

- Process and verify vendor invoices for accuracy, ensuring that they comply with purchase orders, contracts, and other supporting documentation.
- Prepare payments for approval, including cheques, electronic transfers, and other forms of payment.
- Maintain accurate and up-to-date vendor records, including contact information, payment terms, and outstanding balances.
- Reconcile vendor statements and resolve any discrepancies between accounts payable and vendor records.
- Assist with the preparation of the monthly accounts payable report and any other related financial statements.
- Ensure timely payment of invoices to avoid penalties or late fees.
- Maintain accurate and up-to-date financial records and files.
- Assist with the preparation and entry of financial data into the municipality's accounting software.
- Assist with tracking and reporting on capital projects, including ensuring accurate recording of expenditures and budget monitoring.
- Help maintain and monitor financial records related to provincial and federal government grants, ensuring compliance with funding agreements.
- Assist with preparing and tracking financial reports on the status of grants and capital projects, including cash flow projections, budget variance analysis, and funding disbursements.
- Ensure that records are filed correctly and accessible for audit purposes.
- Provide support during the preparation of the municipal budget.
- Assist in the preparation of year-end financial statements.
- Assist with audits by providing necessary documentation and support to auditors.
- Ensure all financial transactions comply with municipal policies and legal requirements.
- Maintain confidentiality of sensitive financial information.
- Work closely with other finance team members to ensure smooth financial operations and compliance with municipal policies and procedures.
- Perform any other financial or administrative duties as required.

**Knowledge, Abilities and Skills**:

- Strong analytical and problem-solving skills with attention to detail.
- Excellent organizational and time-management skills.
- Ability to work under pressure and meet deadlines while maintaining high accuracy.
- Strong communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive financial information.
- Knowledge of municipal finance practices and accounting standards (PSAS), and relevant legislation is an asset.

**Education and Experience**:

- High school diploma or equivalent; post-secondary education in accounting, finance, or related field is an asset.
- Previous experience in finance or accounting, preferably in a municipal or public sector environment is an asset.
- Experience with financial software systems used for accounting and reporting.
- Ability to manage multiple priorities and work effectively in a team-oriented environment.
- Demonstrated ability to maintain confidentiality and handle sensitive financial data with integrity.
- Ability to adapt to evolving technology and accounting systems.

**Work Environment**:

- Hours of work are 37.5 hours per week, Monday to Friday
- Some overtime may be required during peak times, such as year-end or budget preparation periods.
- Criminal Records check required upon hire.

Pay: $47,362.00-$53,306.00 per year
