We are looking for a Project & Service Coordinator
To ensure exceptional customer service and smooth project execution through efficient coordination of scheduling, work orders, materials, and administrative processes. This role is key in supporting field teams, managing client communication, and upholding company standards for quality and professionalism.
**Key Responsibilities**
**Scheduling & Dispatch**
- Create and manage daily technician dispatch schedules.
- Assign jobs based on technician certifications, technical abilities, and client needs.
- Communicate with clients and technicians to confirm appointment times and service windows.
- Adjust and re-prioritize schedules to meet changing job conditions or emergencies.
**Work Order Management (Job Builder)**
- Generate, track, and reconcile work orders in Job Builder.
- Review and validate job data for accuracy, including labor and material usage.
- Prepare and revise estimates and quotes using Job Builder.
- Ensure all job documentation is complete (photos, switch info, signed work orders).
**Client & Partner Support**
- Provide administrative support to partners, vendors, or subcontractors as needed.
- Coordinate and submit purchase orders, clearances, and safety documentation.
- Serve as a central communication point for updates, documentation, and support.
**Project Oversight**
- Monitor project specifications to ensure compliance with scope and expectations.
- Prioritize and track due dates to meet deadlines and client requirements.
- Conduct occasional site walks to verify conditions, gather info, or support estimating.
**Material Coordination & Warehouse Collaboration**
- Work closely with the Purchasing team to verify material pricing and lead times.
- Coordinate with the Warehouse to ensure materials are received, organized, and ready for use.
- Track job tools, inventory, and vehicles to ensure resource readiness.
**Technician Support & Compliance**
- Ensure all technicians have current training and security certifications.
- Support field technicians by providing accurate job documentation and updates.
- Reconcile technician timesheets with job records for accurate payroll and reporting.
**Costing & Margin Management**
- Review job costing for accuracy.
- Reconcile work orders with detailed labor and material entries.
- Adjust job pricing according to company margin guidelines.
**Demand Planning & Opportunity Capture**
- Maintain open communication with field technicians to identify new service opportunities.
- Support sales and growth by relaying field-level feedback and emerging client needs.
**Required Skills & Qualifications**
- Minimum 5 years of field experience in network cabling, structured cabling, or related low-voltage industries.
- Extensive field training and firsthand job site experience is essential.
- Proven ability to manage and prioritize multiple deadlines in a fast-paced environment.
- Strong interpersonal and communication skills, both verbal and written.
- Highly organized with excellent planning and follow-through.
- Strong administrative and computer skills, including:
- Microsoft Office Suite (Excel, Word, Outlook, etc.)
- CAD software and/or PDF editors (e.g., Bluebeam, Adobe Acrobat)
- Experience using job tracking platforms (e.g., Job Builder) and safety documentation tools (e.g., Site Docs).
- Comfortable conducting site walks and working closely with technical field teams.
- Strong attention to detail and commitment to delivering high-quality work.
