**Programs Coordinator**

The Sherwood Park Fish and Game Association (SPFGA) is seeking a highly motivated programs coordinator to provide coordination and implementation support to a wide variety of programs in support of our organizational strategic objectives. As the Programs Coordinator, you will work closely with the Executive Director to deliver program-related activities such as youth, outdoors woman workshops, hunter education, family fun days and more. You will also be responsible for a range of member services and administrative work.

**Key Responsibilities**:
Programs
- Assist in the development and planning of all SPFGA programs and associated goals.
- Organize meetings, workshops and camps, coordinate program activities, manage relationships with key stakeholders, secure venues and other program related logístical requirements, and take meeting notes, where appropriate.
- Draft reports on a variety of planning and program initiatives.
- Assist in organizing and coordinating programs, member engagement initiatives and member consultations.
- Undertake research and participate in cooperative planning exercises with other staff and stakeholders.
- Assist with the preparation of data and related budget information.
- Create member or participant satisfaction surveys and polls.
- Maintain records of member participation rate and individual responses to the programs offered.
- Encourage and support participation in educational and recreational programs.
- Engage in program planning which is highly innovative and reflective of the recommendations of member and Board feedback mechanisms.
- Regularly review all programs to ensure equitable access is available to all members whenever possible. This requires review of both program content and physical requirements to ensure an inclusive approach.
- Deliver service excellence through a constant focus on innovation and continuous improvement. Seek out leading practices to deliver effective and efficient services to the Association and its members.
- Engage in all areas of programming logistics including, but not limited to: set up and/or take down, safety briefings, volunteer recruitment, implementation, delivery, and participation tracking.
- Work with the Communications Specialist to develop and distribute program information and scheduling.
- Ensure a safe environment for all programs participants and adhere to all SPFGA safe work practices and policies.
- In coordination with the Executive Director, identify and order appropriate program supplies and equipment.
- Facilitate the provision of information and education on special topics of interest to members.
- Prepare reports as required.

**Member Services**
- Assist existing members with online renewals or provide manual renewals for those unable to renew on their own.
- Aid with questions pertaining to new membership processing.
- Monitor online orders for printed membership cards; process, print and mail membership cards as required.
- Activate, distribute, and maintain gate access cards and associated records according to membership status.
- Process credit card fees for optional items (e.g., lost or additional access cards) as required.
- Produce membership reports as required.
- Provide in-depth assistance to the Executive Director with facility scheduling and allocation.
- Coordinate and implement internal bookings and external rental requests for facilities and answer inquiries.
- With support of the Executive Director, facilitate the completion of any required Memorandums of Understanding for youth, student, Law Enforcement, or other groups.
- Assist the Executive Director in resolving booking conflicts, scheduling changes and minor complaints as required.
- Make day-to-day decisions relative to facility bookings.
- Work collaboratively with event organizers to ensure that bookings and rentals take place in a harmonious manner.
- Prepare and distribute facility and program booking schedules.
- Ensure rentals are processed in accordance with the established policies and procedures.
- Handle all incoming complaints and inquiries providing excellent and efficient customer service.
- Assist with current website information and marketing material.
- Maintain statistical records and generate reports.
- Communicate booking updates to event organizers as required.
- Provide administrative support to the Member Discipline Committee as required.

**Administration**
- Organizing meetings, including agenda preparation, minutes, and maintaining a pending list of emergent tasks as requested.
- Manage the flow of incoming/outgoing correspondence, including ensuring documents/records are properly recorded according to policy and procedures.
- Review business processes and implement changes as required.
- Perform related duties as requested of the Executive Director.

**QUALIFICATIONS**
- University or college degree, or equivalent experience, and a minimum of two years of program coordination experience.
