Job Summary
The Ancient Rivers Family Health Team (FHT) is a group of interprofessional healthcare providers associated with the Ancient Rivers Family Health Organization (FHO), a group of 17 family doctors in Renfrew and Calabogie with a combined roster of 13 000 patients on 1 shared EMR (Telus Practice Solutions). The Receptionist will work closely with our Primary Care Providers and Integrated Healthcare Providers (IHPs) as part of a dynamic interdisciplinary health care team. The Receptionist provides day-to-day support in the implementation, scheduling, execution, and maintenance of the FHT’s programs and services.
Main Responsibilities
- Effective management of the day-to-day scheduling of the interprofessional healthcare providers of the Family Health Team
- Greets patients and visitors and direct accordingly. Update patient information, including patient name, address and demographic information. Rosters patients as required.
- Answers telephone calls. Direct caller to appropriate person as required or book patient with IHP based on assessment of request.
- Schedules patient appointments. Notifies patient of changes/cancellations as required.
- Books diagnostic tests and appointments for patients at hospitals and other medical facilities.
- Obtains patient charts, medical records and lab reports and verifies for completeness. Copies, distributes and files patient charts, medical records and reports.
- Assists patients with the completion of forms as necessary.
- Sorts, screens and distributes incoming mail and faxes.
- Performs clerical and other administrative functions incidental to clinical reception activities.
- Order, monitor and organize office and clinical supplies.
- Maintain office organization
- Maintain security of confidential information
- In consultation with the ED, Lead Physician and clinical staff, and under the direction of the Board, support the delivery of clinical programs to patients.
- Works with the ED to monitor and review clinical programs for value and effectiveness.
- Participates in a continuous quality improvement plan for clinical programs and their delivery.
- Assists the Executive Director with the day-to-day operations of the FHT.
Position Qualifications and Skills
- Proof of graduation in secretarial and medical terminology studies from a recognized Canadian Community college preferred.
- Minimum of two years recent experience in a physician’s office or an equivalent health care setting.
- Experience in a multidisciplinary health care setting would be considered an asset.
- High level of organizational and time management skills and ability to multi-task
- Ability to work under pressure, with interruptions and still meet deadlines.
- Excellent communication skills (written and verbal)
- Able to work well with shifting priorities
- Ability to act with patience, tact and discretion.
- Respect and understanding of privacy and confidentiality.
- Familiarity with Telus PSS Electronic Medical Record an asset.
- Demonstrated ability to work well independently and in a team environment
- Current Ontario Driver’s License and access to a vehicle for travel within the region
