_The University of the Fraser Valley Student Union Society (SUS) is a BC Not-For-Profit Society representing and serving UFV students. The SUS manages the Student Union Building and facilitates a number of services such as the UFV Campus Connector, food services, and the student health and dental plan. SUS also provides support to an active community of student clubs and associations, organizes community events, and provides wellness and developmental programming. As the official representative body of UFV students, our mission is to create a strong, unified student voice, provide services and developmental opportunities to our members, and advocate on behalf of the interests of the UFV student community._

**Work Schedule**: 15-30 hours a week (Part-Time Temporary)

**Term**: November 12, 2025 - March 6, 2026

**Reporting to**: Executive Director

**Compensation**: $25.00 per hour +4% in lieu of benefits

**Eligibility**: To maintain impartiality and avoid any conflict of interest in administering SUS elections and referenda, this position is not open to students currently enrolled at UFV.

The UFV Student Union Society (SUS) is seeking a **Part-Time Electoral Officer** to oversee our annual elections and referenda. This independent position plays a key role in ensuring fair, transparent, and engaging democratic processes for UFV students.

Success in this position requires integrity, critical thinking, and a calm, fair approach under pressure. We’re looking for someone who takes initiative, enjoys procedural work, and is genuinely interested in elections, governance, or community leadership.

**RESPONSIBILITIES & DUTIES**

- Serve as the principal officer for SUS Elections and Referenda
- Act impartially in all matters related to the administration of the election
- Recruit and oversee the Electoral Committee, including appeals
- Ensure compliance with election procedures, society policies, and codes of conduct

- Complete an election report to be presented at ratification

**PLANNING PERIOD**

- Set election dates and prepare nomination packages
- Collaborate with Marketing & Communications to produce promotional materials in line with the Election Policy
- Recruit and onboard Electoral Appeal Committee members

- Ensure Referenda Q&As are clearly posted

**NOMINATION PERIOD**

- Chair Electoral Committee meetings and orient members on processes and expectations

**REVIEW PERIOD**

- Verify eligibility in accordance with election policies

**CAMPAIGN PERIOD**

- Review and approve all campaign materials to ensure compliance
- Monitor campaign activities to ensure adherence to policies
- Review expense reports and confirm campaign spending does not exceed $200

**VOTING PERIOD**

- Prepare, verify, and publish the online ballot and referenda through the election portal
- Ensure non-partisan communications are distributed to encourage voter participation

**QUALIFICATIONS & ASSETS**

- Excellent communication, attention to detail, and problem-solving skills
- Strong diplomacy, judgment, and ability to remain impartial
- Experience or genuine interest in elections, governance, or democratic processes
- Prior involvement in student government, campaigns, or referenda is an asset
- Ability to build trust and work independently while managing multiple priorities
- Must be available for in-person meetings and election/referendum events in Abbotsford, Mission, and Chilliwack (some evening and weekend work required)

**TERM OF EMPLOYMENT**

This is a part-time **contract position** for the duration of the election cycle. Weekly hours may vary depending on the election period.

Break: December 17, 2025 - January 5, 2026 (unpaid)
End Date: March 6, 2026
