Automotive Service Advisor

Job Summary:
The Service Advisor is responsible for executing the daily operations of the service department. This role involves being the face of an efficient and profitable service department, with a strong emphasis on customer and employee satisfaction. Strong business acumen and a thorough understanding of business practices and procedures support the planning, management, and execution of various operational plans and goals within the department, as directed by the Service Manager.
Main Objectives of this Role (Not Limited to):
- Welcomes the customers warmly on arrival and obtains information about their vehicles, accurately recording car problems, as reported by the customer on the work order.
- Explains the nature of the work performed and all the costs to the customers, while recommending preventive maintenance services.
- Advises customers on maintenance, based on the manufacturer’s technical features.
- Working collaboratively with other departments (e.g., Parts, Service, and Technicians) to ensure consistent positive customer service, timeframes of repairs, and all costs associated.
- Is responsible for telephone requests for appointments and inquiries about work underway.
- Arranges appointments and obtains information about the customers and their vehicles before they come to the dealership.
- Sells lubricating, safety inspection and other services of a similar nature or any other preventative maintenance required by the manufacturer.
- Responsible for ensuring that the walkaround and inspection of the client’s vehicle is done prior to entering the shop by the assigned person (either the service advisor or technician per dealers work guidelines) and documentation of any damages are noted on the Multi-point inspection form.
- Describes the defects in the vehicle based on the customer’s complaints, arranges appointments and maintenance, checks warranty coverage prior to repair.
- Prepares a detailed and accurate estimate of the cost of labour and parts.
- Documents all work performed and recommended in the work orders, ensuring team has clear and accurate documentation of all repairs and distributed to shop foreman or technicians.
- Determines the time frame for completion of the work; verifies this with the shop dispatcher, if necessary.
- Has the customer sign the work order, processes accurate payment information, and provides them with a copy.
- Contacts customers periodically, if there is any change in the estimate or the time frame for completion of the work.
- Explains the additional cost and time required in detail and obtains the appropriate authorization before any additional work is done.
- Verifies the scope of the warranty coverage on the vehicle to be repaired before work begins.
- Examines the work orders to ensure that the work has been finished and that they indicate any additional repairs and authorizations. Closes the work orders, in keeping with established procedures.
- Ensures all dealership policies regarding the use of company cars are followed, that cars are parked in the correct spaces, that they are locked, and that all the keys are labelled and properly organized.
- Ensures that department forms, lists of repairs and pricelists are up to date.
- Participates in the quality control process to eliminate all returns to the shop.
- Demonstrates professional behaviour and ability to work with a team, and individually in a fast-paced environment.
**Qualifications**:
- Valid Driver’s License (Glass G) with a clean drivers abstract.
- Strong knowledge of technical/automotive repairs.
- Willing to stand for extended periods and ability to lift 70 lbs. occasionally.
- Excellent time management and organizational skills with keen attention to detail.
- Strong interpersonal skills, ability to communicate and manage well at all levels of the organization.
- Self-motivated with the ability to work with little supervision.
- Ability to communicate automotive issues clearly and professionally (verbal and written)
- Proven ability to influence change and effectively lead departmental goals.
- Ability to adapt to changing, high energy, fast-paced environment and meet deadlines.
- Sustaining a high attention to detail; is organized and strategic.
- Ability to maintain confidentiality and professionalism.
- Self-motivated and driven with a passion for excellence in execution.
**Hours of Work**:
Monday - Thursday - 8:00am
- 6:00pm
Friday - 8:00am-5:00pm
Saturday - 8:00am to 4:00pm
Exact schedule will be determined upon Hire
