**Job Summary**
Fleming College, Toronto Programs is a public college-private partnership between Fleming College and Trebas Institute, with academic delivery and student support services managed by Trebas Institute.
The Academic Assistant plays an essential role as the first point of contact in the front desk for the Academic Department. The Academic Assistant will support the Academic Director with various administrative task relating to the day-to-day academic operations.
This is a position with working days:
- Monday - Friday 8:00 - 5:00pm
**Responsibilities**
- Monitoring the room plan day to day and making sure there are no conflicts.
- Booking and confirming the auditorium/any room space for activities and events as needed.
- Updating the schedule template to date and sharing it with the academic department
- Managing the rooms and accommodating requests as needed and notifying the respective team leads upon approval of line manager.
- Keep track of changes in the schedule if any.
- Keep track of schedule change requests from faculty - for Invoicing purposes.
- Prepare the Biweekly audit reports of faculty teaching Hours.
- Updating the master faculty sheet with the new hire information.
- Assisting the academic scheduler with cohorts planning and Schedule drafts
- Review the enrolments daily during the registration period and keep track of the capacity.
- Assisting Faculty with any scheduling related queries
- Reviewing the schedules on SYS and making sure they are accurate.
- During the registration period monitoring the capacity of cohorts on regular basis and providing updates.
- Assisting enrolment team with opening seats and adjusting the capacity on SYS
- Reviewing the SYS and making sure the course intakes and modules are accurate.
- Assisting academic team on campus as required - 3 days a week.
- Provides ongoing support on day-to-day office work.
**Position Requirements**
**Education and Experience**
- Undergraduate degree in a relevant discipline required.
- Prior experience working in public college/university: 2 -3 years in a related environment including increasing responsibility of experience in program development and implementation.
**Knowledge and Skills**
- Advance Knowledge MS Office Suite
- Excellent customer service, verbal/written communication skills, organization and conflict resolution abilities a necessity.
- Ability to work well independently as well as part of a team.
- Commitment to co-create a diverse and inclusive community and actively participate in related professional development regarding the dynamics of privilege and oppression and their impact in the workplace.
