**Reporting to Operations/Production Manager**
This job description has been prepared as a guide to ensure better communication and understanding. Your manager may from time to time ask you to perform other related duties not specifically included in this description. Likewise, this description will be revised when required to meet current business needs.
**Duties and Responsibilities**:
The Operations Assistant will assist in all aspects of administrative, accounting purchasing and inventory preferably in a manufacturing environment.
Must not disclose to any person, any information concerning its inventions, processes, methods, trade secrets, or secret procedures owned or used by the Company or any confidential information in any way relating to the Company’s business affairs.
- Provide general administrative support all departments
- Provide strong tasks associated with clerical duties such as answering the phones Maintain calendars, track deadlines
- Document preparation, proofreading, copying, scanning, faxing, mailing/shipping, filing and telephone support.
- Ordering office supplies, taking minutes, month end, invoicing, involved with JHSC
- Comply with policies and procedures
- Protect confidential information at all times.
- Frequently deliver documents, files, mail, messages, etc. to appropriate departments
- Consistently do intense visual work with a high level of concentration when proofreading and filing documents, and other detail-oriented tasks
- Collect, enter, and reconciliation of materials produced and used on a daily basis.
- Creating PO’s for the needed materials and submitting to vendors including shipment set up
- Receive in purchase orders and ensure that items arrive.
- Interact and develop good working relationships with vendors.
- Monitor Safety stocks of materials used.
- Manage and update the list of vendors of items used.
- Perform and enter cycle counts on a bi-monthly cycle into JDE.
- Provide back up to shipping clerk on shipping and receiving functions.
- Operate within JDE inventory system, database, and excel spreadsheet.
- Prepares shipping documents and commercial invoices in collaboration with the administrative technician including creating pick lists or BOL’s
- Coordinate carriers during inter-factory mold transfer or to the supplier.
- Participate in the management of customer and obsolete stocks.
- Control inventory levels by performing physical counts, reconciling with the data storage system.
- Running material planner, scheduling and assessing and when materials will need to be ordered
- Contacting vendors for lead times and pricing on needed material
**Safety**
- Follow Company safety rules and ensure that all procedures under the _Occupational Health and Safety Act_ are being followed.
- All workplace hazards and unsafe work behaviour are taken care of as soon as an employee has mentioned them.
- Complete monthly safety inspections and participate in monthly JHSC meetings
**Security and Housekeeping**
- Follow up on daily cleanliness of the production and quality areas to ensure they always remain as clean and safe workplaces.
- Participate in implementation in the plant
**Required Qualification / Skills**:
- Post Secondary Education in Business Administration with 2 to 3 years experience in a manufacturing industry preferred.
- Flexible and self-motivated with strong organizational, detail-oriented, multitasking, and administrative skills.
- Excellent communication skills both verbal and written.
- Ability to work in a team, as well as autonomously, as required
- Coachable; Professional; Flexible schedule; Approachable; Quick learner; and Self-motivated.
- Good working knowledge and ability to navigate a PC windows environment, including shared drives.
- Ability to learn new software quickly and willingness to continuously develop technology skills.
- Demonstrates good and safe work habits and have a clean working environment.
