You display excellent communication skills, have a thorough, hands-on approach to deliver high quality and precise work, and carry a high level of integrity, discretion, and confidentiality. A focused approach is needed to complete routine day-to-day tasks and handle changing calendars, priorities, and timelines.

Detailed Overview:
**Supporting the Vision, Values, Purpose and Commitments of Fraser Health including service delivery that is centered around patients/clients/residents and families**:
Provides administrative support to the Addictions Medicine department in the delivery of physician education related training and development opportunities across the Fraser Health region, and provides administrative secretarial support to the Addictions Medicine department and Regional Medical Leads for Post Graduate Education, Research and Evaluation and Hospital Based Services.

**Responsibilities**:

- Schedules Addiction Medicine education, training and mentorship for clinical students from Family Medicine Residency sites located in the Fraser Region and other stakeholders as required. Acts as first point of contact and maintains regular and updated communication with partners regarding Addictions Medicine education and training such as with UBC Department of Psychiatry, UBC Department of Family Medicine Enhanced Skills Program, and BC Centre for Substance Use.
- Organizes and schedules internal Addiction Medicine learning and training opportunities both within the Department of Addiction Medicine and Substance Use Services and with other Fraser Health departments, programs and networks. Registers and maintains attendance records of attendees.
- Provides administrative and secretarial support by drafting correspondence and transcribing and typing correspondence, reports, presentations, and memoranda including highly sensitive and confidential information for Ministry of Health/Ministry of Mental Health & Addictions, and Fraser Health Executive.
- Researches, organizes, and summarizes support materials. Generates reports and presentations. Issues certificates of attendance for education and training.
- Responds to a variety of internal and external inquiries by serving as the primary point of contact for educational queries and institutions as well as internal stakeholders and providing information directly or referring to appropriate area or individual.
- Manages appointment calendars including scheduling and coordinating meetings, speaking engagements, and/or conferences. Resolves scheduling conflicts and issues.
- Coordinates the work flow within the assigned area. Receives, reviews, and processes information and takes follow-up action as required.
- Develops and implements new work methods and procedures. Identifies problems, develops alternate solutions, and implements changes.
- Assists in the monitoring of expenditures for budget reports by gathering, compiling, and calculating information.
- Arranges meetings as directed. Books and sets up meeting rooms, prepares meeting agenda, organizes meeting materials, records and prepares minutes of meeting. Conducts or ensures follow-up on action items from meeting.
- Performs other related duties.

Qualifications:
**QUALIFICATIONS**:
Grade 12 plus graduation from a recognized administrative or secretarial program plus three (3) years' recent related experience in a large complex business environment or health care environment or an equivalent combination of education, training, and experience.
