**About Canucks Autism Network**
Canucks Autism Network (CAN) is a charitable organization dedicated to providing programs for individuals on the autism spectrum and their families, while promoting acceptance and inclusion through community engagement and training initiatives across BC. Our vision is for every individual on the autism spectrum to be understood, accepted, and supported in all community spaces.
We engage a workforce of over 200 volunteers and 450 frontline staff to deliver programs for children, youth, and adults on the spectrum in communities across British Columbia. CAN currently supports 7,675 members on the autism spectrum.
**The Opportunity**
**Key Responsibilities**
- Understand staffing requirements for CAN programs and events and ensure a sufficient number of properly trained and qualified employees are available for coverage
- Work with various department leads to create staff schedules and place callouts to internal and external staffing pools to fill staffing vacancies
- Act as a link between staff and program or event coordinators by handling scheduling conflicts, brining relevant items to the attention of coordinator or supervisors, and facilitating positive management-staff relations
- Respond to employees inquires about schedules, employment contract, payroll related inquires
- Maintain information on current and former staff skills, abilities, certification, and experience, ensuring staff personnel records kept up to date
- Review daily site logs and consolidate staff related feedback into employee records database
- Analyze the pool of internal staff and create reports related to demographics, capacity, allocation, skills and certifications, replacement stats
- Collaborate with various teams to identify promising and stilled staff ready to work in various positions
- Plan and effectively communicate work schedules for over 400 part-time staff, sending out confirmations and schedule contracts
- Assist regional teams with staff scheduling process and updates to scheduling tools.
- Work closely with the Recruiter to identify staffing challenges and create a strong pipeline of new hires to sustain growing staffing needs
- Maintain all scheduling and staffing details in scheduling software and tools
**Education and Experience**
- Post-secondary education in Human Resources Management, Business Administration or related field with 2-3 years of experience in a busy administrative role
- Demonstrated knowledge and experience in scheduling a strong asset
- Experience in sport / recreation industry and understanding of community services sector and/or non-profit sector considered an asset
**Knowledge, Skills and Abilities**
- Excellent organization, planning and project management skills
- Proficient in a variety of office software including Outlook, MS Excel and Word, with experience in HR or payroll systems preferred
- Comfortable with changes in technology or process, you can adapt to new ways of working and help others do the same
- Excellent communication (written and verbal) and customer service skills
- Attention to detail and accuracy
- Strong analytical and problem-solving skills, able to work with and synthesize large amounts of data
- Proven diplomacy, tact, empathy and understanding of sensitive/confidential HR issues
- Ability to work in a fast-paced and high-pressure environment
