The Accounts Payable (AP) Clerk plays a key role in supporting the financial health of Stronks Feedlot Ltd., it’s three affiliated companies and farming operations by ensuring that vendor invoices are accurately processed, authorized, and paid on time. This role requires a strong attention to detail, familiarity with agricultural and livestock supply purchases, and the ability to communicate effectively with both vendors and operational staff.
**Key Responsibilities**:
- Receive, review, and process supplier invoices for feed, livestock supplies, fuel, parts, and farm inputs (e.g., seed, fertilizer, chemical).
- Collaborate with the Operations Manager to verify accurate data entry and system integrity within Trimble.
- Match invoices to purchase orders, delivery slips, and receiving records from feedlot or farm staff.
- Ensure invoices are coded correctly to the appropriate GL accounts, locations, and cost centers (e.g., feedlot, crops, equipment).
- Reconcile company credit card statements on a monthly basis by verifying receipts, coding transactions accurately, and ensuring timely processing of expenses. Communicate with cardholders to obtain missing documentation or clarify unfamiliar charges.
- Monitor and maintain accurate AP aging; process payments via cheque, EFT, or wire transfer in accordance with vendor terms.
- Process and complete monthly payroll for Fusion Feedlot Insights, ensuring accuracy, compliance with applicable legislation, and timely disbursement of employee wage.
- Maintain vendor relationships and respond to inquiries regarding payment timing or discrepancies.
- Reconcile vendor statements monthly; follow up on missing invoices or credit notes.
- Collaborate with feedlot managers, farm supervisors, and maintenance personnel to clarify purchases or resolve discrepancies.
- Assist with month-end and year-end procedures, including accruals and invoice cut-offs.
- Track and report prepaid expenses (e.g., fertilizer, feed contracts) and coordinate with management on timing.
- File and organize AP records in accordance with audit and CRA standards.
- Support annual financial audits and year-end accounting reviews as needed.
- Assist with other finance-related administrative tasks as assigned.
**What You Bring**
- Diploma or Certificate in Accounting, Business Administration, or a related field preferred.
- 1-3 years of experience in accounts payable or bookkeeping, preferably in an agricultural or rural business setting.
- Familiarity with agricultural terminology, vendors, and seasonal input cycles is a strong asset.
- Proficient in accounting software (e.g., QuickBooks, AgExpert, Sage) and MS Excel.
- Strong organizational skills with a high level of accuracy and attention to detail.
- Ability to work independently and manage priorities, especially during seasonal peaks (e.g., spring seeding, fall harvest).
- Excellent communication and interpersonal skills; capable of working with both office staff and field personnel.
- A valid driver’s license is required.
