**Position Summary**
This position will be responsible for providing administrative support to the Finance and Administration team at Lethbridge County for the next six (6) months, primarily with accounts payable, accounts receivable, customer service, and tax and utilities. Other responsibilities will include producing accounting reports, making accurate monthly remittances, recording transactions to the General Ledger and administrative duties related to finance and bookkeeping. Other duties will be assigned as necessary.
**Duties and Responsibilities**
1. General support to all functions of the Finance and Administration team as required.
2. Prepare invoices for payment, verifying information, and authorization and ensuring accurate coding and approval as required.
3. Responsible for weekly cheque runs.
4. Handle inquiries about outstanding invoices to the purchaser, suppliers, or manager.
5. Review all payable records to ensure accuracy and compliance.
6. Process payments to vendors in a timely manner.
7. Process Visa payments.
8. Prepare accurate processing of monthly remittances.
9. May be required to balance and prepare bank deposits and/or take deposits to the bank.
10. Perform customer service duties at the front counter and operates phone switchboard directing phone calls to the appropriate personnel.
11. Post payments to appropriate accounts, including cash, cheques, online bill payments, Citizen Self-Serve, and downloads direct deposits.
12. Open and close office; places cash drawers into cash registers and returns them to the safe at the end of the day.
13. Conduct cash outs and preparation of deposits.
15. Issue and make Employee ID cards and Waste Privilege cards as required.
16. Distribute daily mail, date stamped appropriately. Ensure outgoing mail has appropriate postage applied and is taken to the postal box for mailing. This role also reviews and provides recommendations for the postage contract.
17. Prepare invoices for A/R in accordance with authorization practice and procedure; including: cardlock water, work orders, service agreements, etc.
18. Create Auto Withdrawal batches for cardlock water.
19. Produce monthly reports of outstanding A/R, contacts delinquent accounts, and transfers to tax roll or collection.
20. Purchase office supplies and furniture as requested and in accordance with budget provisions and purchase order support.
21. Resolve shipment errors.
22. Maintaining an organized filing system with for all supporting documents for audit purposes.
23. Participate in Lethbridge County’s Health and Safety Program, and willing to perform duties related to Safety.
**Education/Training/Skills Required**
1. Post Secondary Degree or Diploma in business administration, finance, accounting, or other related field would be considered an asset.
2. Minimum of 1-3 years of experience in accounts payable/accounts receivable, municipal government, or general bookkeeping would be considered an asset.
3. Strong computer skills; experienced in Word, Excel and Outlook.
4. Excellent interpersonal, written and verbal communication skills.
5. Effective at problem solving with integrity and self-motivation.
6. Ability to satisfactorily passes a criminal background check.
**Working Conditions**
1. This position will work out of the Lethbridge County Administration Building.
2. This position will work 40 hours per week and hours of work will support operational hours of 8:30 am to 4:30 pm, Monday to Friday.
**Job Types**: Full-time, Fixed term contract
Contract length: 6 months
Pay: $20.00-$25.00 per hour
Expected hours: 40 per week
