A HVAC dispatcher is responsible for coordinating and dispatching HVAC (Heating, Ventilation, and Air Conditioning) technicians to various job sites. They play a crucial role in ensuring efficient scheduling and timely response to service requests.
**Role**: HVAC Dispatcher
**Responsibilities**:
Gather detailed information about the customer's HVAC issues, including the type of problem, location, and urgency.
Schedule and dispatch appropriate HVAC technicians to the customer's location based on their expertise, availability, and proximity.
Coordinate with technicians to optimize their routes and ensure timely arrivals at job sites.
Communicate job details, including customer information, service requirements, and special instructions, to the assigned technicians.
Monitor the progress of ongoing jobs and update customers on technician arrival times or any changes in the schedule.
Maintain accurate records of service calls, including customer information, job details, and technician assignments.
Provide exceptional customer service by addressing customer inquiries, resolving complaints, and ensuring customer satisfaction.
Collaborate with other departments, such as sales or maintenance, to coordinate service activities and meet customer needs.
Assist in managing inventory of spare parts, equipment, and supplies to ensure technicians have necessary resources for their jobs.
Stay updated on industry trends, new technologies, and regulations related to HVAC systems to effectively assist customers and technicians.
Adhere to company policies, procedures, and safety standards at all times.
**Requirements**:
High school diploma or equivalent; additional certification or training in HVAC systems is a plus.
Proven experience in a similar role, preferably in the HVAC industry or related field.
Strong knowledge of HVAC systems, components, and terminology.
Excellent organizational and time management skills to effectively prioritize and schedule multiple service requests.
Outstanding communication and interpersonal skills for effective coordination with customers and technicians.
Ability to remain calm and make sound decisions in high-pressure situations.
Proficient computer skills and experience with dispatching software or tools.
Ability to work in a fast-paced environment and handle a high volume of service requests.
Flexibility to work evenings, weekends, and holidays as needed.
Knowledge of local geography and ability to provide accurate directions to technicians.
Demonstrated problem-solving skills and ability to think on your feet.
Attention to detail and accuracy in recording and documenting information.
